Executive Secretary—Virginia 2018-CS-001 Provide administrative support for the Agency and the Executive Director including duties that require discretion and confidentiality. DUTIES AND RESPONSIBILITIES: • Provide administrative support to Central Services and Executive Director • Manage office to ensure efficient function • Responsible for Agency document retention, including classification, storage, retrieval. Includes Agency vehicle fleet titles, tabs, and information file • Responsible for Agency grant file maintenance; organizing, compliance review, record-keeping, reporting, and verifying information • Compile data, maintain records/electronic data, prepare reports, handle information requests, complete voucher/purchase orders, prepare correspondence and schedule meetings • Responsible for supervising Central office reception duties and personnel • Make travel arrangements and process travel expenses • Serve as Board of Directors liaison, scheduling Board/Executive Committee meetings and preparing meeting agendas. Develop, organize, and provide information packets for Board members • Responsible for taking, completing, distributing, and maintaining Board of Director, Executive Committee, and other committee meeting minutes • Assist Human Resources with personnel duties and record-keeping as needed • Assist leadership team with Agency special projects as assigned QUALIFICATIONS: Minimum Associates degree in Business Management/related plus three years successful experience in administrative operations, procedures, and staff supervision. Excellent computer/technical, organizational, and communication skills required.
