Skills Needed: Thorough knowledge of office management techniques and equipment; thorough knowledge of business English, spelling and arithmetic; general knowledge of effective supervisory techniques; comprehensive skill in organizing work flow and coordinating activities; general skill in operating personal computer equipment and related office and accounting software; ability to analyze and interpret policy and procedural guidelines; ability to type at a reasonable rate of speed; ability to prepare effective correspondence on routine matters and to perform routine office management details without referral to supervisor; ability to make arithmetic computations using whole numbers, fractions and decimals; ability to compute rates, ratios and percentages ability to communicate effectively, both orally in written form; ability to resolve problems and inquiries; ability to establish and maintain effective working relationships with associates and the general public. Specific Tasks: Provide clerical support for Rum River staff which includes developing word documents, forms, checklists, spreadsheets, etc. Assist in developing flyers/notices, handling registrations, creating certificates of attendance, securing reservations, etc. for any Rum River trainings; i.e., new teacher trainings, transition trainings, para trainings, principal trainings, etc. Create evaluations and tally results. Assist with Crisis Prevention Institute (CPI) Training &#8211; Develop schedule, secure locations, handle registrations, send reminder notices, prepare materials for trainers, develop certificates, maintain CPI database, enter training information on CPI website, provide quarterly reports of participants trained to coordinators, complete annual summary of trainings, etc. Reconcile CPI Report Card received from CPI with our records on a quarterly basis. Provide support to Account Executive for Third Party Billing (MA). As Account Manager, coordinate/maintain SpEd Forms, Woodcock-Johnson, etc. Assist in submitting information to MDE on file review monitoring. Develop monthly calendars for staff and distribute to districts and post on website. Update and maintain staff lists of special education teachers, administrators, etc. for each school district as well as a current email contact list for all districts. Assist special education coordinator with the Work Skills Day or Transition Fair held in March of every year. This includes preparing/coordinating materials; evaluations; registrations of students, staff, judges, presenters, name tags, etc. Assist coordinator responsible for CTIC committee in maintaining membership list, sending agendas, meeting notices, securing meeting locations, finalizing minutes and posting on website. Assist in special projects or updates as requested; i.e., Part B and Part C File Monitoring Manual, TSES documents, Restrictive Procedures Plans, cheat sheets, etc. Receive list of students from MDE and work with the Rum River coordinator and ECSE teachers within RRSEC to gather and enter COSF (Child Outcomes Summary Form) information on the MDE website before deadline. Check Help Me Grow (HMG) website periodically throughout each day and provide information on HMG referrals to ECSE teachers, assure their receipt, and record in Google database. Maintain RRSEC Lending Library, MDE Q&A binders, PCA certificate database, event calendar showing planning meetings, workshops, trainings, etc. Assist callers regarding special education, staff availability, and direct calls to various staff and/or agencies. Develop Rum River Newsletter as requested by Director. Develop 30 school day timelines for each district yearly. Assist with any other general duties; i.e., answering phone, mailings, gather agenda items for planning meetings, operate and maintain office equipment such as computer, copier, printer, etc. File psych reports in student files and pull files that can be shredded on an annual basis. Perform other duties/activities as assigned by the Director of Special Education. Qualifications/Experience:
