Position: Administrative Assistant School: Noble Academy Description: GENERAL PURPOSE: Provides general administrative support services to the school and prioritizes duties as to accommodate parents/public, students, educators, and phone calls in a pleasant manner. Provides general support for school staff; maintains files and student records; and performs additional duties as assigned by administration. PROFESSIONAL RESPONSIBILITIES: Customer Service: &#8226; Greets public in a pleasant and helpful manner &#8226; Demonstrates and creates a positive, professional and courteous client service to all staff, students and public &#8226; Provides the public with information about our school (in person and over the phone) &#8226; Encourages prospective students and parents to attend the school of their interest &#8226; Implements and creates marketing ideas through events and school projects Front Desk Operations: &#8226; Signs-in/out students and/or parents as they arrive or leave during school day &#8226; Provides sign-in registration and visitor badges &#8226; Ensures that parents and visitors have appropriate escorts when visiting classrooms &#8226; Answers incoming calls, transfer calls, takes messages in professional manner &#8226; Builds rapport and becomes familiar with students through daily interaction &#8226; Determines priorities and directs individuals to appropriate staff in professional manner &#8226; Contacts parents when there are student emergencies &#8226; Conducts monthly fire drills, tornado drills and lockdowns &#8226; Provides tours for families and community members &#8226; Maintains misc. logs such as: staff sign-out, volunteers, visitors, etc. &#8226; Makes arrangements for meals &#8226; Assigns and labels mailboxes as needed for all staff &#8226; Coordinates school tours and orientation sessions for new families &#8226; Provides information to parents about the school&#8217;s procedures and instructional programs Administrative Support &#8226; Types formal letters, flyers, memos, event invitations (i.e. graduation), etc. at staff or Principal&#8217;s request in a timely manner &#8226; Sorts and distributes mail/faxes/deliveries &#8226; Translates monthly school newsletters and distributes them to the classrooms to send home &#8226; Creates flyers, marketing tools and event invitations (i.e. graduation), etc. for the school &#8226; Prepares school monthly newsletters &#8226; Works closely with teachers to retrieve student work for the newsletters &#8226; Prepares certificates and awards for student monthly assemblies Transportation: &#8226; Tracks and records bus write-ups and suspensions &#8226; Communicates and submits letters to parents &#8226; Makes new arrangements for student pick-ups and drop-offs as requested &#8226; Arranges transportation classes for students and parents as needed &#8226; Arranges transportation needs for approved field trips Staff Support: &#8226; Provide forms, retrieves information, student data, phone numbers and parent information as requested by staff &#8226; Works closely with and collaborates with teachers and staff to create a positive learning environment Miscellaneous: &#8226; Provides office space and monitors students waiting to be picked-up &#8226; Responsible for conducting fire, tornado and bomb threat drills; ensures all students are out of the building &#8226; Assists with school field trips, graduation, school events/activities and clubs as needed &#8226; Organizes, stocks and maintains neatness of copier and supply rooms &#8226; Provides limited first aide as needed when the school nurse is not available (band-aides, cleaning wounds, providing ice-packs, taking temperatures, and distribution of approved prescribed medication) &#8226; Maintains school uniform supply; provides them to students; performs monthly inventory, orders more as requested by the families &#8226; Assists administration with marketing the school through the use of banners, flyers, brochures, signs, fund-raising events, etc. as needed KNOWLEDGE AND SKILLS: &#8226; Ability and willingness to keep records and office space organized and easily accessible &#8226; Ability to follow through in a timely manner &#8226; Knowledge of or willingness to learn various software programs including Microsoft Office and JMC &#8226; Considerable knowledge of and ability to perform office management duties, practices and procedures &#8226; Considerable knowledge of and ability to operate office equipment &#8226; Considerable skills in teaching others to safely operate office machines and equipment &#8226; Excellent communication skills and ability to communicate effectively both orally and in writing to members of the public, community, staff, students, and administration &#8226; Excellent interpersonal skills and the ability to deal with a variety of personality types and dispositions in numerous circumstances while maintaining a controlled, tactful, respectful, professional manner &#8226; Excellent team player skills with positive attitude &#8226; Ability to remain calm in an emergency &#8226; Ability to think clearly in any situation, determine priorities, and handle multiple tasks &#8226; Ability to make appropriate decisions quickly &#8226; Willingness to show initiative in problem solving and team goal achievements &#8226; Extremely talented in organizational skills as accurate school records are critical PROFESSIONAL EXPECTATIONS: &#8226;
