Job Summary: 1. Provides secretarial and clerical support in maintaining budgets such as ordering supplies, processing payments of purchase orders and invoices and purchase cards. 1. Provide secretarial support services such as typing letters, forms, bulletins, newsletters, and reports, taking meeting minutes, making appointments, preparing materials and lists, maintaining files and records, operating and maintaining office equipment, issuing student passes, filling in for clerical staff, and calling in substitutes. May sell, take and/or tally tickets for various school events. 1. May collect, verify, and report employee and substitute payrolls. May verify time off entries for building employees. 1. Perform public relations activities such as answering telephone calls, greeting visitors, taking messages, and responding to students, teachers, parents, employees, and others questions and inquiries so that effective school communications and office operation are established and maintained. 1. May compile data and prepare appropriate state and year-end reports, i.e., state department, attendance and other School District reports so that reports are prepared and submitted in an accurate and timely manner. 1. May provide work direction to other clerical staff at the site. 1. Coordinate building activities such as preparing building activity schedules, communicating custodial needs, and making building activity arrangements so that building activities are effectively coordinated and implemented. 1. May work with other office staff in maintaining records and files, i.e., health records, cumulative folders, permanent records, and enrollment cards so that records are accurate and up-to-date. 1. Performs other job related duties. Qualifications: 1. High school degree, GED, or equivalent. 2. The hiring manager reserves the right to request a skills test prior to hire. 3. Three (3) to five (5) years of clerical/secretarial training or experience. 4. General office skills. 5. Microsoft Office proficiency (including Publisher). 6. Receptionist skills. 7. Ability to communicate and work effectively with others. 8. Organizational skills including filing and knowledge of office equipment. 9. Willingness to accept and follow direction. 10. Ability to work independently with minimum supervision. 11. Thorough knowledge of all clerical/secretarial functions in school office. 12. Ability and skill to provide work direction to others.
