School Operations Manager Responsibilities and Job Description January 2020 &#8226; This administrative position will report to the school director &#8226; This is a full-time, salaried, administrative position with 7.0+ hours per day during the school year and flexible hours with up to 5 weeks of vacation in June and July to be determined annually with the school director, to ensure the school is properly staffed even during the summer &#8226; Ideally, this person should have an education background to help with classroom observations and recommendations HR Human Resources Responsibilities &#8226; Posting job opportunities, coordinating with the board personnel committee, interviewing candidates, attending job fairs, recommending hiring of classroom teachers and other general staff (besides special education paraprofessionals) to the board &#8226; Helping the director with contract administration and writing up of contracts each summer and as needed during the school year &#8226; Reviewing, updating, and writing job descriptions as needed &#8226; Helping the director with recommending continued employment or release of employees in annual board meeting at the end of May or early June &#8226; Collecting and forwarding information and receiving background checks &#8226; Keeping personnel files accurate and complete Employee Benefits Responsibilities &#8226; Understanding the school&#8217;s EBC (Education Benefit Consultants) contract and acting as main point of contact between employees and the company &#8226; Understanding retirement options and acting as the main point of contact between employees and the Ameriprise 403B retirement account representative &#8226; Understanding basic TRA/PERA and acting as the main point of contact for the school with these entities Employee Support Responsibilities &#8226; Overseeing the ASEOP (Frontline) system for daily teacher and secretarial substitutes and finding teaching and secretarial substitutes as needed &#8226; Offering new hire orientations, including creating training packets for jobs &#8226; Administering annual performance reviews of non-instructional staff &#8226; Helping the director with formal classroom teacher evaluations and feedback (both formative and summative), if qualified &#8226; Helping the director with employee issues that arise and helping oversee any staff corrective action and improvement plans &#8226; Representing the school in workers comp issues and hearings &#8226; Representing the school in unemployment insurance issues and hearings &#8226; Working with the director to present employment policies to the board &#8226; Updating the staff handbook annually with help from the school director Budget Responsibilities &#8226; Helping director administer performance stipends, extra-duties, and Q-comp pay when needed &#8226; Processing primary payroll (getting timesheets for substitutes, classroom teacher hourly pay, janitorial and secretarial; reviewing and signing timesheets; forwarding all timesheets to the payroll company by Thursday mornings) &#8226; Writing and submitting the Title I and Title II grant paperwork Other Responsibilities &#8226; Acting as the administrative liaison with the school&#8217;s IT manager, including updating the phone system as needed &#8226; Ensuring paperwork and reporting is completed and to ACNW when required (ex: overseeing the Epicenter site for timely submissions of board and school) &#8226; Ensuring teacher licensing and relicensing is accurate and complete &#8226; Working with the STARS coordinator to submit the licensing report &#8226; Gathering credit card receipts from staff monthly for the business office &#8226; Attending monthly board meetings &#8226; Helping the dean of students with nurse duties for students when the nurse is absent &#8226; Helping the director with board member recruiting, training, and the election process as needed &#8226; Being &#8220;officially in charge&#8221; of staff anytime the director is absent from the building; working closely with the Dean of Students, lead teachers, and SpED Coordinator during these times regarding direct student issues and needs Please forward a resume and cover letter via email to: Amy Hendrickson &#8211; Teacher and School Director East Range Academy &#8211; MN Public Charter School #4166 ahendrickson@mnerats.org<mailto:ahendrickson@mnerats.org> Timely submissions of interest and applications are strongly encouraged by January 31st, 2020.
