Serve as receptionist, performs a variety of administrative and clerical duties, and provide assistance and support for staff, students, and the public with the key responsibility being student records. * Be an ambassador for the district while serving as the initial point of contact between the public and the school Essential Functions (Typical tasks but not all inclusive&#8212;major duties of the position) * Responsible for operating the office on a day-to-day basis * Act as a communication link between administration, teachers, other staff, students, and parents * Answer phones and transfer calls as necessary * Assist with attendance messages and passes * Maintain student files &#8211; current students, inactive students, and inactive special education files, as well as maintain office forms, policies, staff forms, etc. * Maintain MARSS data for state reporting such as student attendance data, transcripts, enrollment and withdrawal data, test data, discipline data, transportation data, and special education data * Create MARSS numbers and validate with MDE * Register new students and withdraw students leaving the school district * Assist with student scheduling and registration * Assign and maintain lockers * Responsible for the student of the week award * Administer the daily announcements * Coordinate numerous events throughout the year including graduation and year-end ceremonies, senior student and teacher check-out, school picture and picture re-take days, college visits, and parent/teacher conferences * Assist with athletic enrollment * Coordinate the recording of grades and dissemination of report cards and progress reports at the MS/HS and ALC as well as all high school transcripts * Enter transfer grades and ACT test scores * Submit honor roll list to newspaper * Maintain enrollment records for PSEO students * Maintain registration guide * Responsible for Family Access/Skyward passwords * Refer student behavioral problems to the designated person * Collect fines and fees * Update and maintain middle school, high school, and faculty handbooks * Send out invitations for 50 year graduates, etc. * Keep the building principal informed of the events and operations throughout the building * Attendance is an essential element for this position due to direct support for students * Perform other duties as necessary and assigned Knowledge, Skills, and Abilities (Minimum competencies for job performance) * Ability to write clearly and concisely * Ability to communicate effectively, both verbally and in writing, with teachers, administrators, board members, students and parents/patrons * Ability to analyze, interpret, compare and present data * Ability to present to small groups * Ability to establish and maintain relationships with staff, administrators, board members, parents/patrons, and community members * Ability to use modern technology and related software * Ability to demonstrate enthusiasm and commitment toward the job and mission of the school district Education and Experience (Minimum level of education and experience required) * High school diploma or GED required * Post-secondary training in clerical/office management field preferred * Three to five years of clerical experience preferred * Equivalent combination of education, training, and experience in a job-related field Supervision (Level of supervision received and supervision exercised/size of group supervised) * Work is performed under limited supervision of the building principal Working Conditions (Physical requirements and environmental conditions) * Limited business travel may be required * Work may require long hours including early morning, evening, and weekend activities;
