Job Description General Business/HR Office Duties include but are not limited to: · Answer employee questions and redirect as necessary · Process incoming mail · Create and distribute documents · Provide customer service to organization employees · Maintain computer system by updating and entering data · Set appointments and arranging meetings · Maintain calendars of HR and Business management team · Assist in the collection of field trip, athletic and other school fees and track e-payment fees from all sources. · Assist Business Manager in completing bi-weekly cash tracking, e-payment and prepare bank deposits · Compile reports and spreadsheets and preparing spreadsheets · Assist administration with typing assignments, memo, newsletters, school bulletins, etc. · Faxing, mailing, and scanning correspondence for the HR and Business department · Maintain profiles for various vendors, office type equipment, ensure all supplies are stock (i.e. copier toners, papers, office supplies, etc) · Occasionally assist with the creation, development and update of school marketing materials such as but are not limited to brochures, flyers, and post cards. · Be flexible with work schedule as hours may base on the organizational needs · Complete additional tasks as assigned by supervisor or admin team Recruitment/New Hire Process · Participate in recruitment efforts · Post job ads and organizing resumes and job applications · Schedule job interviews and assisting in interview process · Collect employment and tax information · Ensure background and reference checks are completed · Prepare new employee files · Oversee the completion of compensation and benefit documentation · Orient new employees to the organization (setting up a designated log-in, workstation, email address, etc.) · Conduct benefit enrollment process under the direction of the Sr. HR Manager · Serve as a point person for all new employee questions · Assist in orientation and job fairs as needed · Update and maintain employee benefits, employment status, and similar records · Perform file audits to ensure that all required employee documentation is collected and maintained · Complete termination paperwork and assisting with exist interviews EEO Statement: Hmong College Prep Academy will not deny anyone the opportunity for training or employment because of sex, race, religion, color, creed, national origin, marital status, age, sexual preference, disability, or status with regard to public assistance. The right candidate should be outgoing, able to manage multiple activities within tight timelines, communicate extremely well, deal diplomatically with people, and keep their composure under pressure. Commitment to detail, quality customer service, and professionalism is required for this role. The appropriate handling of sensitive and confidential material is a must, and the position carries with it a great deal of trust to perform every day functions, safeguarding confidentiality of students and staff in a K-12 setting. Prior experience in a similar role is highly desirable. Requirements: · Meticulous; Yes, attention to detail is a MUST · Mandated Exposure – Office administration, Human Resources, Business Operation coordination , Client / Employee Relations, Staffing, etc. · Should like working in a fast-paced environment · Great writing skills and accurate data entry skills · Excellent verbal communication Job Type: Full-time
