Position: Administrative Assistant – Reception & Attendance School Overview Athlos Academy of St. Cloud is a public, tuition-free K-8 charter school. Our school offers a unique approach that empowers students to live fulfilling, responsible, and successful lives by building on our three foundational pillars: Prepared Mind, Healthy Body, and Performance Character. Reports to: AP & Operations Coordinator Minimum Qualifications Required: Education: High School Diploma Required, Associates Degree preferred Experience required: Experience in an office setting Preferred Qualifications: Languages: Ability to speak a foreign language (Somali, Spanish, Arabic, Vietnamese, etc.) Experience preferred: Experience in a school office setting Certification: First Aid/CPR desirable Schedule: 7:30am-4:00pm M-F 12-month contract with 210 reporting days Characteristics of the Successful Candidate: · Growth mindset · Reflective practitioner · Innovative · Professional · Creative problem solver · Willing to take risks · Highly organized · Effective at time management · Seeks out professional learning · Willing to continue to learn and try new strategies/ protocols · Willing to plan and work collaboratively with a team · Ability to build relationships with students from a variety of backgrounds · Ability to work independently · Self-motivated · Good communicator and active listener · Excellent telephone skills · Maintains confidentiality Primary Job Duties: 1. Receive attendance reports and log information into the Student Information System. 2. Track daily attendance, verify legitimacy of student excuses, prepare and communicate necessary attendance reports. 3. Work with the Social Worker and Guidance Counselor on truancy and attendance. 4. Prepare, sort and file various student records including those regarding attendance. 5. Maintain student demographics and emergency information in the student information system. 6. Manage student schedules in the student information system. 7. Serves visitors by greeting, welcoming and directing them appropriately. 8. Answer multi-line telephone, greeting callers in a friendly and professional manner. 9. Receive and deliver messages for staff and students. 10. Maintain a safe and clean reception area by complying with procedures, rules, and regulations. 11. Professional reception of students, staff, parents, and visitors. 12. Type, proofread copy, distribute, and file correspondence as needed or requested. 13. Act as a liaison between the school and the community when serving the public in the office. 14. Able to shift quickly between several tasks without loss of continuity. 15. Able to perform assigned responsibilities, duties, and tasks according to established procedures, techniques, and standards with minimal supervision. 16. Able to independently identify and undertake additional tasks to be accomplished. 17. Able to maintain restraint and keep calm when faced with frustrated individuals. (Remains calm, uses good judgement, and thinks quickly and rationally in difficult or stressful situations.) 18. Serve as the backup to the Administrative Assistant – Transportation & Records. 19. Other duties as assigned. Secondary Job Duties: 1. Manage requests for student transfer of records. 2. Maintain confidential student information files. 3. Monitor, update, and review the enrollment tracker for accuracy. 4. Contact parents to obtain necessary student registration paperwork. 5. Attend all student enrollment fairs and related events. 6. Act as the main point of contact for the bus company. 7. Manage busing requests, route changes, and parent questions regarding transportation. 8. Work with the Benefits & Employment Coordinator to ensure that bus supervision staff are properly scheduled. 9. Submit bussing additions, removals, and address changes to the bussing company. 10. Manage all driveline related tasks including; issuing driveline numbers, entering driveline numbers into student records, updating the transportation document with driveline changes. 11. Keep the student information system updated with transportation information. 12. Type, proofread copy, distribute, and file correspondence as needed or requested. 13. Act as a liaison between the school and the community when serving the public in the office. 14. Able to shift quickly between several tasks without loss of continuity. 15.
