Full-Time Office Assistant

(17-18 school year)

Hiawatha Collegiate High School is the newest addition to the growing Hiawatha Academies charter school network. In August 2015, Hiawatha Collegiate High School opened its doors to 104 9th grade students.  The school will grow one grade each year, and next year, it will be home to just over 300 freshmen, sophomores, and juniors.  At HCHS, all students benefit from a well-rounded program rooted in rigorous academics, comprehensive college support, and meaningful extracurricular activities.


HCHS is committed to ensuring that 100 percent of its students will graduate from high school prepared to thrive in college.  HCHS is currently seeking a hard-working, passionate, and goal-oriented educator to join our team as an Office Assistant for the 2017-18 school year.


Job Description

The Office Assistant is responsible for joining a powerful vision of supporting student achievement through effective operations. The Operations Team exists to support key stakeholders in the pursuit of educational excellence by providing direct support and facilitating relationships that bridge home and school. The Office Assistant is part of a team that creates and maintains systems that allow staff to focus on excellent academic program; s/he would directly impact the Hiawatha mission each day on the job.


The Office Assistant will work under the guidance of the Director of Operations and will support classroom teachers and school leaders in the delivery of strong academic programming to scholars. The Office Assistant supports the Operations team - specifically the Office Manager, Enrichment Coordinator, and Director of Operations - to carry out essential tasks and responsibilities in the operations of a high-performing school.

General Office Support

Act as the primary family and student service representative by providing high quality customer service to families, staff, and students.

Maintain the physical office space (main office, copy room, teacher lounge, and conference room) to provide a clean and welcoming environment

Support sick/injured students when they arrive in the main office and make phone calls home

Assist in creating a safe and respectful atmosphere for students


Operational Duties

Support Office Manager and Enrichment Coordinator

·         Maintaining student records in paper and digital files

·         Complete data entry

·         Support leading new and prospective families on school tours

·         Manage general office supply inventory

·         Assist the Office Manager in coordinating the collection/processing for all required student data annually

·         Prepare documents and mailings for the Operations Team

·         Support teachers for daily items as they arise

·         Other duties as assigned by the Director of Operations


Recruitment and Enrollment Duties

Support HCHS in student recruitment efforts

Make phone calls to prospective students and their families

Work with the Director of Operations and the Director of Enrollment and Admissions to plan and execute recruitment events

Manage the enrollment form collection and data entry

Hiawatha Employment Logistics

·         Hiawatha Collegiate High School students’ school day is from 8:15am-3:45pm, Monday-Thursday and 8:15am-1:20pm on Friday.

·         Teachers must be present from 7:30am-4:00pm three days each week, and 8:00am-4:20pm two days each week.

·         Professional development sessions are held each Friday from 1:40pm-4:00pm.

·         All Hiawatha Staff are expected to attend and participate in relevant evening Family Events to be held at the school.


Skills & Qualifications


·         High School diploma

·         General knowledge of Microsoft Office

·         Excellent customer service skills


Highly Preferred:

·         Bachelor’s preferred

·         Experience working in a fast-paced office environment

·         Experience working in a high-need K-12 school setting

·         Experience working with students of color or students growing up in low-income households
