Organizational Description

Community School of Excellence (CSE) is a Pre-Kindergarten to 12th  grade Hmong Language and Culture Charter school that is a family. Job Summary

This role provides administrative assistance to the Operations Team and supports school-wide events, communications, and general office duties. Responsibilities include managing phone and voicemail, greeting guests, handling paperwork, and maintaining accurate records. In addition, this specialist supports all extra curricular activities. Demonstrates exceptional customer service skills, attention to detail, and the ability to manage multiple priorities in a fast-paced setting. This person will report directly to the Office Manager. 


Responsibilities

Administrative support and Customer Service 

  • Serve as the first point of contact by answering phone calls, checking voicemails, and greeting guests in a professional and welcoming manner.

  • Check in and out all guests entering the school building, ensuring proper sign-in/out and adherence to visitor protocols.

  • Address evening inquiries or complaints related to transportation and handle situations promptly and appropriately.

  • Provide general office support including clerical duties, sorting and routing paperwork, handling outgoing mail, and assisting with filing, scanning, and maintaining student data in E-CUM.

  • Maintain a positive and responsive front office environment by delivering excellent customer service to students, families, and staff.


After School and Athletics Program Support

  • Support extracurricular, athletics and after-school programs. 

  • Primary contact for After school and Athletics transportation. 

  • Support with bus arrival and departure of school buses to ensure students are getting on their correct buses and ensure that all bus routes are clear for the evening. 

  • Perform other duties as assigned by the supervisor. 


Position Specifications

Skills, Knowledge and Abilities

  • Bilingual in English and Hmong, Karen, or Karenni preferred; strong cross-cultural communication skills with experience working with limited-English-speaking families.

  • Exercises sound judgment, meets deadlines consistently, and holds themselves accountable for quality and timeliness of work.

  • Able to work effectively as part of a team; manages multiple tasks and frequent interruptions with professionalism.

  • Comfortable using digital communication tools (especially email) and experienced with entering data into systems such as Infinite Campus and other state reporting platforms.

  • Ability to sit for extended periods while performing accurate data entry and administrative tasks.


Qualifications

  • Associates degree (preferred Bachelor’s degree) from an accredited college or university preferred.

  • Two or more years of community and/or family services experience

  • Able to communicate (orally) in both Hmong and English.
