Office Manager/MARSS Coordinator Job Description Title: Office Manager/MARSS Coordinator NWPHS is a 9-12 grade project based and experiential learning public charter school located in Coon Rapids, MN with a mission of ?Rekindling our hope, exploring our world, seeking our path, while building our community.? Qualifications: Bachelor''s degree in related fields preferred. High school diploma or GED and training and/or experience as a school secretary/office manager preferred. Proficiency in Microsoft Word, Excel, Google Docs & Spreadsheets. Ability to learn other software and web-based programs Ability to assist staff with software related questions/problems. Above average organizational skills and the ability to manage multiple tasks and prioritize work. Excellent written and verbal communication skills. Strong interpersonal skills and a desire to work with the general public. Experience with or understanding of the importance of confidentiality. Preferred experience with WordPress website management. Reports to: Executive Director Position Summary: The MARSS Coordinator is responsible for accurate and timely reporting of all student and district data via MARSS to the state of Minnesota ensuring proper funding. The coordinator acts as the liaison between the District and state representatives for cleaning up data inconsistencies as well as related work apparent and assigned. Performance Responsibilities: Serve as a data analyst preparing reports for multiple district departments. Fulfills the job functions of the Attendance Coordinator when coordinator is absent. Sends and retrieves student electronic information to the state of Minnesota using the state and federal government guidelines/ Defines MARSS Protocols and works with representatives of the state and other districts to resolve issues relating to student enrollment data. Is the Districts primary point of contact and technical expert for end user support and training on MARSS. Ensures the implementation of internal and external procedures are in place to ensure all student data and state mandated coding is input in an accurate and timely manner. Keeps the state informed of school changes, address changes, or school opening and closing. Maintains contact with other MN school districts to ensure MARSS data is current and correct; submits error free data to the State in order to obtain accurate district reports. Monitors the quality of the district''s student records prior to submission to the state by auditing internal error reports; corrects errors in the district system to ensure accurate reporting; identifies data problems and how they might be fixed now and in the future; determines priorities on which errors must be corrected first to ensure district receives maximum funding. Extract data for analysis and reporting for multiple departments including but not limited to: the school board, finance, student health, special services, etc. Prepares memoranda or other correspondence for the purpose of keeping families informed or upcoming events, etc. Assists in planning school events and activities, maintaining calendar of school events for the purpose of coordinating and scheduling events such as orientation, open house, conferences and graduation. Assists visitors to the office, including students'' parents, contract employees and others. Answers telephone calls and provides information and assistance to callers. Distribute mail appropriately. Registers new students, making sure forms are completed, obtains transcripts and other documentation as needed, entering data into computer systems regarding enrollment and student records (e.g. transportation, free and reduced lunch program, attendance, withdrawals, special education, etc.) Responds to inquires from students, parents and employees, providing and facilitating communication among parties and/or providing direction. Maintaining the Student Information System for state reporting, maintaining accurate data via JMC. Maintain registration and database of all student information. Maintain parent contact on daily and upcoming events. Sets up tours for interested students, including monthly enrollment meetings. Order office and general supplies as needed for staff and maintenance of the facility. Input transcripts into the software system as students register. Work with Homeless liaison, special education coordinator, PSEP coordinator to maintain correct student information. State Discipline reporting - enter discipline reports and certify data in the spring. Maintain and schedule Medtox random testing for bus drivers. Schedule/Hours: 8 hours/day Monday - Thursday (One Friday/month) during the school year. 2 days/week - Approximately June 15 - August 15 Start and end times - approximately 7:00 a.m. - 4:00 p.m. Health, Dental & Life Insurance available.
