Job Summary: * Process incoming special education records for case manager use, copy and disseminate the following as requested by certified staff * Notices for team meetings for purposes of evaluation/re-evaluation planning meetings, evaluation/re-evaluation results meetings, intake IEP meetings and annual IEP meetings * Evaluation and re-evaluation reports * Notices of proposed Special Education Services * IEP&#8217;s and other appropriate due process information * Track monitor and complete necessary paperwork for third party billing * Monitor each cumulative record for legally required contents * Track receipt of parental consent for programming, services and evaluation in each student file regularly * Assist with maintaining current program special education student database * Handle requests from other agencies or schools for special education student records * Demonstrate excellent judgment and decision making skills regarding responses for requests for information and determining whether additional consultation or records are appropriate * Compile and send various physical and electronic materials such as letters, reports, record requests, etc. * Complete Uniform Tuition Acknowledgements * Mail to district upon enrollment (within 30 days) * File copies of sent and signed Uniform Tuition Acknowledgments * Communicate with staff in other districts regarding acknowledgements, residency and documentation * Track completion and receipt of acknowledgments * Track, calculate and enter Special Education hours in Skyward in collaboration with school and district-wide MARSS reporting staff * Maintain program and office supplies for the Special Education department * Assist parents and students with problems and concerns when appropriate * Assist with MARSS reporting and Third Party Billing related tasks as requested * Manage requisition, purchasing and receiving process as directed by Director of Special Education * Other job related duties as assigned Qualifications: * Associate&#8217;s degree or equivalent work experience in a support role position * Excellent attention to detail and proficient in multi-tasking * Quick learner who is willing to learn on the job * Ability to work with a wide variety of people in a calm, patient, understanding, creative, flexible, student-centered environment * Good human relation skills, team player and professional demeanor * Ability to communicate effectively both orally and in writing * Proficient with basic computer programs including but not limited to Microsoft Office products * Ability to maintain confidentiality of student information at all times.
