Our Preschool and Community Education programs are integral in supporting the growth and development of our youngest learners and in providing enrichment opportunities for families. We are looking for a dedicated and organized individual to join our team as a District Office/Community Education Secretary, supporting the smooth operation of these vital programs. Job Summary: This is a full-time, 200-day hourly position that will provide comprehensive administrative support to the Preschool and Community Education departments. This role requires excellent organizational, communication, and customer service skills to support the day-to-day functions of the district office, assist staff, and engage with parents and community members. Position Purpose Under the general supervision of the Director of Community Education, to facilitate student success and growth in academic and interpersonal skills through implementing district approved curriculum; documenting teaching and student progress/activities/outcomes; addressing specific educational needs of individual students and by creating a flexible, safe and optimal learning environment; and providing feedback to students, parents and administration regarding student progress, expectations, goals, etc. Key Responsibilities: * Provide administrative support to the Preschool and Community Education departments, including managing correspondence, scheduling, and record-keeping. * Serve as a liaison between the school district, parents, staff, and community partners. * Maintain accurate student and program records, including enrollment, attendance, and billing data. * Handle inquiries from families regarding Preschool and Community Education programs, registration, and general information. * Assist with the coordination of special events, parent meetings, and Community Education initiatives. * Collaborate with teachers and program directors to ensure effective communication and program operations. * Support the coordination of communication materials, including newsletters, brochures, and website updates. * Maintain confidentiality of sensitive information in compliance with district policies. Required Qualifications: * High school diploma or equivalent; Associate's degree in office administration or related field preferred. * Previous administrative experience, preferably in an educational setting or similar role. * Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and Google Suite (Drive, Docs, Sheets, Slides). * Strong communication skills, both verbal and written, with a focus on customer service. * Ability to manage multiple tasks, prioritize, and meet deadlines in a fast-paced environment. * Attention to detail and organizational skills. * Familiarity with Early Childhood Education or Community Education programs is a plus. Salary: Follows AFSCME collective bargaining agreement. Actual salary DOQ.
