Job Summary:
The Counseling Secretary provides secretarial/administrative support to the High School Counselors and other school staff in a manner that will ensure the efficient operation of the school.
The position reports directly to the High School principal.
Essential Job functions (but not limited to):
* Assist building administration and the counseling department by loading accurate data into the master schedule, generates reports and provides student registration forms/materials.
* Prepare, maintain and approve high school transcripts as requested in Parchment.
* Assist the school counselors with college and career fairs by setting up appointments. Post schedules for students using various communications.
* Receive, file and maintain career information in a well-organized and up to date manner that is easily accessible. Schedule visitations from colleges, vocational and military representatives for the school. Schedule, prepare and manage other counseling office events.
* Maintain student program records and cumulative files. Enter and maintain database with students test scores, grades and other educational data for graduation and honor roll reporting.
* Complete general clerical duties such as welcoming visitors and students, handle questions and phone calls to ensure a high-level customer service experience, issue student passes as needed and provide general support to the counseling staff.
* Enter PSEO Courses onto student schedules for Century College.
Minimum Requirements:
High School education and 1+years related experience, preferably in an Educational or Community Education setting. High level customer service skills and enjoys working in a fast-paced environment with students and staff.
Qualifications:
* Strong technical skills: Knowledge in Google Suite, Synergy, Microsoft Office, Skyward, and other web-based platforms preferred
* Prior experience supporting counselors and administration through scheduling, organization, and communications preferred. Previous experience handling work tasks with high level of accuracy
* Excellent time management skills and the ability to work independently to meet deadlines
* Strong attention to detail, ability to handle multiple tasks with daily interruptions
* Ability to work with confidentially with educational data
* Ability to communicate effectively with district staff, parents and students with professionalism and courtesy
* Excels at providing excellent customer service, goes above and beyond to resolve customer issues and provide overall client satisfaction
* Exhibits a positive attitude, works collaboratively with colleagues and other district staff and exhibits a strong motivation to complete daily work tasks
