Administrative Assistant to the Superintendent and Board of Education
Full Time - 12 Month Position
General Definition of Work:
Under the direction of the Superintendent the Administrative Assistant to the Superintendent, provides secretarial and office assistant services to the Superintendent and the Board of Education and also completes several other administrative assistant duties as listed in the essential functions.

Essential Functions
* Attends all meetings (work sessions, regular meetings, etc) of the Board of Education and provides secretarial support in keeping minutes, attendance, and other duties necessary.
* Keeps an accurate and permanent record of the proceedings of the Board and published minutes of meetings as required by law.
* Coordinates Minnesota Automated Reporting Student System.
* Is responsible for the scheduling of regular and special meetings of the Board and prepares, together with the Superintendent and the Executive Committee, an agenda setting forth all known items of business to be considered at the meeting as well as information and memos delineating the substance of agenda items.
* Disseminates all information regarding Board meetings to Board members, schools, administrators and other interested citizens in a timely manner and in accordance with state law.
* Maintains all records of the Board and ensures their safekeeping and availability for public inspection in accordance with state law and district policy.
* Secures and facilitates the distribution of information between the Superintendent, the Board, district employees, the media, and the public.
* Serves as Confidential Secretary to the Superintendent and is responsible for all clerical duties associated with the effective performance of duties of the Superintendent including:
* Places and receives telephone calls and records messages
* Warmly welcomes visitors and arranges for their comfort
* Manages email system
* Prepares and types correspondence
* Maintains files and a library in all areas relating to the superintendency
* Maintains a schedule of appointments and makes arrangements for all functions
* Handles registration and travel arrangements as required by the Superintendent and Board members
* Orders supplies, subscriptions, and memberships as required by the Superintendent and Board
* Coordinates district business, meetings, and Board Meeting packets as necessary
* Reviews periodicals, articles, newsletters, etc. and advises the Superintendent of information pertinent to current district concerns
* Advises the Superintendent immediately of the existence of any problems deemed to warrant prompt attention, advice or intervention
* Facilitates procedures regarding district emergencies
* Attends school and community meetings, workshops and conferences as determined by the Superintendent
* Keeps abreast of outstanding achievements by students and staff requiring recognition by the Superintendent
* Maintains effective communication with various city, county and state offices to facilitate cooperation regarding mutual concerns and schedules meetings
* Promotes effective public relations through telephone and written communications with citizens
* Coordinates and prepares for special district functions such as community forums, the district retirement reception, and other functions
* Performs special assignments and other duties as determined by the Superintendent.
* Administers and enhances the Student Information System known as Infinite Campus
* Supervises and completes the Civil Rights Data Collection (CRDC) Survey
* Administers the Minnesota Common Course Catalog (MCCC)
* Serves as the school districts Homeless Liaison
* Manages the required Homeschool Reports and is the liaison between homeschool families and the school district
* Manages the Open Enrollment program
* Completes the annual census
* Home School Submittals / Non-Public School submittals
* Enrolls new students and manages all items related to enrollment
* Manages Parent and Student Portal in Infinite Campus
* Completes the Digital Equity Access Report
* Administers the P-EBT Food Benefit Program
* Maintainer of SSID and confirms ELSA
* Serves as the district’s Identified Official With Authority (IOWA)
* Completes Site Verification for the district
* SSDC Coordinator
* Maintains Carl Perkins program data
* Other duties as assigned by the Superintendent
Knowledge, Skills, and Abilities
* Office management, business practices, files, and record keeping systems
* Proper language usage, grammar, and spelling
* Basic arithmetic concepts
* Public relations
* Exhibit tact with information and communications received and given
* Perform a wide variety of responsible secretarial work and coordinate a volume of administrative detail
* Understand and follow difficult oral and written instructions
* Change and adapt office procedures and details to changing needs and requirements
* Meet and work effectively with District officials, administrators, teachers, parents, and the public
* Use of modern office equipment and software
* Proficiency with Google Products
Education and Experience
* Any combination equivalent to an Associate’s of Arts degree in office management or business administration and some experience as a secretary to a key administrator is preferred but not required.
* Computer literacy is required.
Physical Requirements
This work requires the occasional exertion of up to 30 pounds of force; work regularly requires sitting, speaking or hearing and using hands to finger, handle or feel and occasionally requires standing and walking; work requires close vision, distance vision, ability to adjust focus, depth perception, color perception, and peripheral vision; vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; work requires preparing and analyzing written or computer data; work has no exposure to environmental conditions; work is generally in a moderately noisy location (e.g. business office, light traffic).
Special Requirements
Valid driver's license.
Rate of Pay:
$20.00 to $25.00/hour dependent on experience and qualifications.
