This position will be year-round and will require four (4) 10-hour shifts from 8 am - 6 pm, Monday - Thursday, with no work on Fridays. There will be occasional evening events where flextime is offered. Pay rate is $27.46/hour and is eligible for full district benefits. Essential Functions: The FEC Bilingual Administrative Assistant is responsible for supporting all Faribault Education Center programs, students, staff, and community members. Responsibilities include, but are not limited to: * Maintain a safe, welcoming, and inclusive environment for diverse students, staff, families and community members * Work collaboratively with the FEC Coordinator, FEC Manager and Navigator to improve processes and procedures for FEC programs * Manage the FEC Front Desk and main entrance * Understand the FEC programs and services * Initiate all intake procedures for new and returning students and customers * Screen, forward, and document communication received at the FEC Front Desk via phone, text, email, voicemail, in person, etc. * Schedule and process building reservations in ELEYO related to Community Education programs and outside organizations * Collaborate and communicate with building custodians and administrative assistants across the district regarding district facility use * Accept and process payments for all FEC-related programs and services * Accept and distribute all mail, packages, handouts and flyers * Order supplies for the building and community education programs * Create building signs and marketing materials for programs * Post updates on Community Education Social Media pages and website * Maintain files and records with confidential information * Prepare written materials and reports * Schedule meetings for the FEC Coordinator, FEC Manager, Navigator, teachers and students as needed * Connect with the school districts FACES (Family And Community Engagement Specialists) daily through Centralized Registration * Collect data and attendance for adult education programming and grants and enter into required systems (SID, SalesForce, WorkforceOne, etc.) * Attend and assist with event planning for students and staff (open house, registration events, graduation, staff appreciation, sunshine fund, etc.) * Translate flyers and documents as needed * Maintain CASAS, TABE, and PearsonVue certification * Prepare and administer CASAS, TABE, and Pearson Vue tests as needed * Enter building work orders and technology work orders for the FEC * Attend local, regional and state-wide meetings and professional development related to FEC programming * Collect and review timesheets * Support community education team as needed and assigned * Other administrative duties as needed and assigned Knowledge, Skills and Abilities: * Ability to build and maintain relationships with students, staff, families, community partners, and additional stakeholders * Friendly, compassionate, personable, and reliable * Strong technology skills, including proficiency in Microsoft Office and Google Suite * Excellent communications skills * Attentive to detail * Ability to work independently * Growth mindset Required Qualifications: * 2+ years of previous clerical experience * Must be bilingual in Spanish/English or Somali/English * Willingness and eagerness to learn new skills and programs * Positive attitude Preferred Qualifications: * AA/S Degree in business administration, office administration, office management, or related fields.
