Qualifications

The successful candidate will demonstrate a high level of competence, professionalism, and attention to detail in supporting the daily operations of the school office. Essential qualifications include:

  • Comprehensive knowledge of general office procedures, practices, and professional etiquette.

  • Proficiency in providing customer service and managing public interactions with tact, courtesy, and efficiency.

  • Familiarity with office equipment and technology to support day-to-day operations.

  • Knowledge of student information systems and recordkeeping processes, including proficiency with district-approved platforms such as Frontline, Infinite Campus, Skyward, or comparable systems for enrollment, grade reporting, scheduling, and financial record management.

  • Strong understanding of computer operations, including proficiency with productivity software such as word processing, spreadsheets, internet browsers, and email applications.

  • Knowledge of district and school policies and procedures that govern administrative and operational requirements.

  • Fundamental knowledge of bookkeeping, accounting, purchasing, and budget monitoring processes.

  • Exceptional oral and written communication skills, including the ability to prepare professional correspondence, reports, and notifications.

  • Strong organizational and time management skills with the ability to manage multiple priorities.

  • Ability to provide confidential secretarial and administrative support to the Building Principal and school staff.

  • Demonstrated commitment to accuracy, attention to detail, and maintaining the highest level of professionalism.


Summary of Duties

Under the direction of the Building Principal, the Office Professional plays a critical role in the efficient coordination of school office operations. This position serves as a key liaison between families, staff, students, and the public, ensuring a welcoming and professional environment while supporting the administrative needs of the building.

Essential responsibilities include, but are not limited to:

  • Managing building-level purchasing, processing financial transactions, and monitoring assigned budgets.

  • Maintaining and updating building websites and communication platforms to ensure timely and accurate information is available to families and staff.

  • Coordinating logistics for building events, meetings, and scheduling to support the school calendar.

  • Providing positive, professional reception services to all visitors, families, staff, and students.

  • Drafting, composing, and editing correspondence, letters, and parent communications on behalf of the Principal and school administration.

  • Managing the Principal’s calendar, scheduling appointments, and coordinating administrative priorities.

  • Processing and maintaining accurate student enrollment records, transfers, and records requests in compliance with district and state requirements.
