SECTION II: JOB SUMMARY

 

The District Office Support and School Board Liaison provides high-level administrative and operational support to the Superintendent and district leadership team. The position supports day-to-day office operations, supports district-wide administrative functions (including HR, finance, and food service tasks), and serves as the primary liaison to the School Board. This role ensures that the district office operates efficiently, confidential information is handled appropriately, and School Board operations are compliant, organized, and transparent to the public.

Statement of duty/responsibility: 

District Office and Operations Support

 

Tasks involved in fulfilling above duty/responsibility:

  • Provide administrative and clerical support to the Superintendent and district leadership team.

  • Manage office communications, scheduling, and records.

  • Review vendor AP statements, prepare and enter invoices, and scan/attach in Skyward.

  • Process purchasing requests and manage cash and credit card deposits.

  • Prepare correspondence, reports, and other documentation with accuracy and professionalism.

Human Resources and Personnel Support

 

Tasks involved in fulfilling above duty/responsibility:

  • Maintain employee files, both paper and electronic.

  • Enter and update employee data in HR/payroll systems (job changes, certifications, leaves).

  • Assist with job postings, candidate scheduling, and onboarding paperwork.

  • Support benefits enrollment paperwork and respond to routine staff inquiries.

  • Track employee leaves, absences, and required certifications/licenses.

  • Prepare standard correspondence such as employment verifications and notices.

School Board and Policy Administration

 

Tasks involved in fulfilling above duty/responsibility:

  • Organize, assemble, and distribute board agendas and supporting documents.

  • Coordinate setup for board meetings, including audiovisual and Zoom needs.

  • Prepare and publish official minutes in accordance with law.

  • Maintain the district’s policy manual and website postings, ensuring accuracy and accessibility.

  • Provide guidance on parliamentary procedures as needed.

  • Maintain historical records and develop the annual board meeting calendar.

Cross-Departmental and Public Service Support

 

Tasks involved in fulfilling above duty/responsibility:

  • Assist with food service tasks such as free/reduced meal applications and balance statements.

  • Invoice and collect payments from families for district services (e.g., open enrollment transportation).

  • Support public information needs by ensuring timely updates of board and policy information.

  • Collaborate with department leads to improve administrative workflows.

Special Projects and General Support

  • Manage special projects as assigned by the Superintendent or district leadership.

  • Perform other duties as assigned.

 

SECTION IV: EDUCATION, EXPERIENCE AND ESSENTIAL SKILLS REQUIREMENTS

Education/Certification Requirement: Associate’s degree in business, office administration, or a related field required; Bachelor’s degree preferred.  Training or coursework in human resources, accounting, or public administration desirable.
Experience: Minimum of three (3) years of progressively responsible administrative experience, preferably in a school district or government setting. Experience supporting boards, councils, or executive leadership preferred.

Essential skills required to perform the work:

  • Strong organizational and time-management skills with attention to detail.

  • Ability to handle confidential information with discretion.

  • Proficiency in Microsoft Office, Google Workspace, and Skyward or similar software.

  • Excellent written and verbal communication skills.

  • Knowledge of public meeting laws, record retention, and basic HR and finance procedures.

  • Ability to prioritize tasks and manage multiple projects with limited supervision.

  • Professional demeanor and commitment to excellent customer service.

Performance of Duties: Employees must faithfully perform, at a professional level of competence, the services and duties prescribed by the District, regardless of whether such duties are specifically described in ths job description, in a notice of assignment, or in another document. Prompt and regular attendance is an essential function of each employee’s job. Employees must also comply with all lawful directives issued by the Superintendent or by any other individual with supervisory authority. In addition, employees must comply with all applicable federal and state laws and with all rules, regulations, and policies established by the District. Employees may not, directly or indirectly, engage or participate in any action or conduct that conflicts in any respect with the interests of the District. Toward that end, employees may not engage or participate in any action or conduct that is inconsistent with their job duties, the basic educational mission of the District, or the desired image of the District.
