Job Summary
The Activities Supervisor/Director is responsible for the leadership, organization, and management of the comprehensive student activities program at Rockford High School. This role ensures that all extracurricular programs—including athletics, fine arts, and clubs—promote student development, sportsmanship, and community pride. The Activities Director oversees all scheduling, supervision, transportation logistics, and financial management to ensure safe and successful operations.
Essential Duties and Responsibilities
1. Activity Scheduling & Operations
- Master Scheduling: Develop and manage the master calendar for all athletic games, fine arts performances, practices, and facility usage.
- Conference Coordination: Liaison with the Wright County Conference (or current conference affiliation) and the Minnesota State High School League (MSHSL) to ensure compliance with all scheduling regulations and bylaws.
- Facility Management: Coordinate the use of school facilities (gymnasiums, fields, auditorium) for both school activities and community use, ensuring no conflicts arise.
- Officials & Event Staff: Secure and schedule necessary game officials, referees, timekeepers, and scorekeepers for all home events.
2. Supervision & Personnel Management
- Event Supervision: Serve as the primary site supervisor for home events or designate and train appropriate site supervisors when personal attendance is not possible.
- Staff Leadership: Recruit, interview, recommend for hire, and evaluate all coaches and activity advisors.
- Professional Development: Coordinate rules interpretation meetings and ensure all coaches meet MSHSL certification and education requirements.
- Student Conduct: Enforce the student code of conduct and MSHSL eligibility requirements regarding academic standing and chemical health.
3. Transportation Logistics
- Travel Coordination: Arrange all transportation for away games, competitions, and field trips, ensuring safe and reliable transit for students and staff.
- Vendor Management: Serve as the primary point of contact for bus companies and transportation vendors to negotiate schedules and resolve service issues.
- Route Planning: collaborate with coaches and the transportation department to determine departure times and pick-up/drop-off logistics.
4. Budgeting & Financial Management
- Budget Oversight: Develop, administer, and monitor the annual budget for the entire activities department, ensuring fiscal responsibility.
- Purchasing: Approve and process purchase orders for equipment, uniforms, and supplies in accordance with district policy.
- Revenue Management: Oversee ticket sales, gate receipts, and fundraising activities, ensuring proper cash handling and accounting procedures are followed.
- Reporting: Provide regular financial reports to district administration regarding the status of activity accounts.
Qualifications
- Education: Bachelor''s degree in Education, Sports Administration, or a related field required. Master''s degree preferred.
- Licensure: Valid Minnesota Administrative License (Director of Community Education or K-12 Principal) or ability to obtain appropriate licensure is preferred.
- Experience: Previous experience in athletic administration, coaching, or teaching at the secondary level.
- Skills: Strong organizational skills, proficiency in scheduling software, and excellent communication skills for interacting with students, staff, parents, and the community.
Work Environment & Physical Demands
- This position requires flexible hours, including frequent evenings and weekends to attend games and events.
- Must be able to traverse various terrains (fields, courts, bleachers) and occasionally lift equipment up to 50 pounds.
- The role involves high-pressure situations requiring conflict resolution and quick decision-making.

Starting Pay - $105,000
