This position will be for the 2026/2027 School Year and will start on July 1, 2026.

ABOUT THIS ROLE
The Executive Assistant to the Executive Director serves as a trusted partner and organizational anchor for HOPE''s senior leadership. This role is central to HOPE''s ability to operate with efficiency, professionalism, and mission-alignment at the highest level. The Executive Assistant ensures that the Executive Director can focus on strategic priorities by managing the day-to-day logistics of the office with precision and care.
The ideal candidate brings exceptional organizational skills, strong interpersonal judgment, and a deep commitment to HOPE''s mission of academic excellence and Hmong cultural identity. This person is a proactive problem-solver who takes initiative, communicates with clarity, and represents HOPE with professionalism in all interactions, from families and scholars to board members and external partners.
PRIMARY DUTIES
Calendar & Scheduling Management. Manage the Executive Director''s complex calendar, including scheduling internal and external meetings, resolving conflicts, and anticipating scheduling needs. Coordinate with internal staff and external stakeholders to ensure the ED''s time is protected and aligned with organizational priorities.
Travel Coordination. Arrange all travel logistics for the Executive Director, including transportation, lodging, conference registration, and itinerary preparation. Ensure travel plans are cost-effective, well-organized, and aligned with school and budget guidelines.
Project & Administrative Support. Provide hands-on support for special projects, strategic initiatives, and school-wide priorities as directed by the Executive Director. Track action items, deadlines, and deliverables; prepare briefing materials, agendas, reports, and correspondence on behalf of the ED.
Board Relations Support. Support the Executive Director in all board-related functions, including coordinating board meeting logistics, preparing and distributing meeting packets and agendas, recording and distributing meeting minutes, and maintaining board documentation. Serve as a point of contact for board members and ensure timely follow-through on board action items.
Front Office Coverage. Provide backup and support coverage for the front office as needed. Greet visitors, answer phones, and respond to general inquiries in a professional and welcoming manner that reflects HOPE''s values and culture. Serve as a liaison between the ED''s office and school staff, families, and community members.
Communications & Correspondence. Draft, edit, and proofread a variety of communications on behalf of the Executive Director, including emails, letters, announcements, and memos. Ensure all outgoing communications are accurate, professional, and aligned with HOPE''s voice and brand.
Confidentiality & Discretion. Handle sensitive and confidential information with the highest level of integrity and professionalism. Maintain appropriate boundaries and exercise sound judgment in navigating sensitive matters involving staff, families, and organizational leadership.
REQUIREMENTS
- Associate''s or Bachelor''s degree in business administration, communications, education, or a related field preferred; equivalent experience will be considered.
- Minimum of three (3) years of experience in an executive assistant, administrative coordinator, or similar role; experience in a school or nonprofit setting strongly preferred.
- Demonstrated ability to manage complex calendars and competing priorities with accuracy and professionalism.
- Experience supporting senior leadership or a C-suite executive in a fast-paced environment.
- Strong written and verbal communication skills; able to draft professional correspondence and communicate clearly with diverse audiences.
- Excellent organizational skills and attention to detail; ability to manage multiple projects and deadlines simultaneously.
- Experience supporting board relations or governance functions is a significant asset.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace; experience with school information systems such as Infinite Campus is a plus.
- Professional demeanor, high emotional intelligence, and the ability to exercise discretion with confidential information.
- Ability to work independently with minimal supervision while remaining responsive and collaborative.
- Experience working with or in Hmong and/or diverse communities is strongly preferred; proficiency in Hmong is a significant asset.

WORKING ENVIRONMENT
Duties are primarily performed in a school office environment. The school building is a multi-level building that has an elevator and is accessible. This role requires consistent in-person presence to effectively support the Executive Director and school operations. Some evening hours may be required for board meetings, school events, and community engagement activities. Occasional exposure to a busy, high-energy school environment including interactions with students, families, and staff throughout the building.
