The Purchasing Coordinator reports directly to the Director of Finance and Operations and is responsible to that person for the proper interpretation and performance of the responsibilities of the position. This position also works with all school buildings, buildings & grounds, District appointed construction managers, architects, and others as it relates to District purchasing. Job Summary: Ensures the District is in compliance with State and Federal purchasing laws, School Board policy, and regulations regarding purchasing for the District. Implements the District''s standards utilizing purchasing groups and researching joint purchasing opportunities when economically advantageous. Manages all purchasing functions including, but not limited to, issuing payments, entering and updating purchase orders, sending orders to vendors, preparing invoices, check requests, and expense reimbursement for payment. Monitors the purchasing card system for the District and completes all month end reconciliations. Monitors capital and equipment budgets in construction projects and large capital purchases when applicable. Reviews cooperative purchasing agreements to ensure best practice, price and value. Communicates with District staff and outside vendors to meet all legal compliance and District requirements. Provides expertise and support for all buildings on purchasing best practices and District standards. Assists in training individuals and/or groups on the use of the District''s software program (Skyward). Prepares audit schedules for the external financial auditors. Assists with operational audits of key processes regarding the purchasing system to ensure efficiency and effectiveness. Performs other duties as assigned. Qualifications: Degree in business, accounting, finance, or a related field. A combination of education and experience may be considered. Minnesota Association of School Business Officials (MASBO) certification, institute or leadership academy registration or training preferred. Other Skills and Abilities: Ability to develop correspondence in accordance with the District communication guidelines. Ability to speak effectively to both groups and individuals and explain complex financial information in an understandable format. Ability to interpret a variety of instructions in written, oral, diagram or schedule form. Ability to operate a computer and software including Word, Excel, Google Docs. Experience with Skyward preferred. Experience with Infinite Campus preferred. Ability to multitask on the computer, email, and telephone with professional and courteous communication.
