Office Manager ? Gateway STEM Academy Reports To: Executive Director FLSA Status: Non-Exempt Work Schedule: 12-Month Position Position Overview The Office Manager is a key operational leader at Gateway STEM Academy, responsible for ensuring the smooth, efficient functioning of the school?s administrative systems and daily operations. This role manages student data, coordinates communication, and supports staff and leadership to maintain a well-organized, responsive, and professional school environment. Key Responsibilities Student Information & Data Systems Maintain accurate student records in the Student Information System (e.g., JMC) Process student enrollment, transfers, and withdrawals Monitor and track daily attendance; follow up on absences and communicate with families Generate reports related to attendance, enrollment, and student data Ensure accuracy and completeness of student data for state reporting, including MARSS requirements Family Communication Coordinate school-wide communication (newsletters, announcements, updates) Serve as a primary point of contact for families and support communication with staff Coordinate translation and interpretation services as needed Administrative & Operational Support Support school leadership with scheduling, reporting, and compliance tasks Coordinate logistics for school events, conferences, and meetings Maintain office supplies and manage ordering and inventory Assist with staff onboarding and HR-related documentation Compliance & Confidentiality Ensure compliance with FERPA and other data privacy regulations Maintain accurate and organized records for audits and reporting Support timely and accurate state reporting, including submission of data through MARSS Additional Duties Perform other duties as assigned to support the effective operation of the school Qualifications Required: High school diploma or equivalent Experience in an administrative, office, or customer service role Strong organizational and multitasking skills Excellent communication and interpersonal skills Proficiency with technology (Google Workspace, data systems, spreadsheets) Preferred: Experience in a school or educational setting Familiarity with Student Information Systems (e.g., JMC, PowerSchool) Experience with state student data reporting systems, including MARSS Bilingual or multilingual skills Core Competencies Strong attention to detail and accuracy Ability to manage multiple priorities in a fast-paced environment Professionalism and discretion with confidential information Problem-solving and initiative Commitment to equity and serving a diverse student population Physical Demands Ability to sit, stand, and move throughout the school environment Occasional lifting of up to 25 pounds Why Gateway STEM Academy? Position Overview

The Office Manager is a key operational leader at Gateway STEM Academy, responsible for ensuring the smooth, efficient functioning of the school’s administrative systems and daily operations. This role manages student data, coordinates communication, and supports staff and leadership to maintain a well-organized, responsive, and professional school environment.


Key Responsibilities

Student Information & Data Systems

  • Maintain accurate student records in the Student Information System (e.g., JMC)

  • Process student enrollment, transfers, and withdrawals

  • Monitor and track daily attendance; follow up on absences and communicate with families

  • Generate reports related to attendance, enrollment, and student data

  • Ensure accuracy and completeness of student data for state reporting, including MARSS requirements

Family Communication

  • Coordinate school-wide communication (newsletters, announcements, updates)

  • Serve as a primary point of contact for families and support communication with staff

  • Coordinate translation and interpretation services as needed

Administrative & Operational Support

  • Support school leadership with scheduling, reporting, and compliance tasks

  • Coordinate logistics for school events, conferences, and meetings

  • Maintain office supplies and manage ordering and inventory

  • Assist with staff onboarding and HR-related documentation

Compliance & Confidentiality

  • Ensure compliance with FERPA and other data privacy regulations

  • Maintain accurate and organized records for audits and reporting

  • Support timely and accurate state reporting, including submission of data through MARSS

Additional Duties

  • Perform other duties as assigned to support the effective operation of the school


Qualifications

Required:

  • High school diploma or equivalent

  • Experience in an administrative, office, or customer service role

  • Strong organizational and multitasking skills

  • Excellent communication and interpersonal skills

Preferred:

  • Experience in a school or educational setting
