About Becker District/School:
Becker School District is conveniently located off of US Hwy 10, just 20 minutes SE from St. Cloud and 45 minutes NW from the Twin Cities. The District consists of five buildings, all situated on a single, cohesive campus and serves approximately 2,800 students - Early Education Building, Primary School (K-2), Intermediate School (3-5), Middle School (6-8), and High School (9-12). Job Summary:
Under the direction of the Principal and guidance from Counseling personnel, the Administrative Assistant Counseling Office is responsible for providing a variety clerical and secretarial support functions within the counseling office in assisting counselors and providing student services to include such responsibilities as handling student enrollment and withdrawals; maintaining student cumulative records; coordinating grade entry, changes, and running report cards; facilitates the donation of local scholarship donations and the application process; submitting completed PSEO applications to designated colleges, student records and transcripts; and other related duties.
Essential duties outlined below are intended as "representative" examples of the level, nature and decision making expected of positions assigned to this classification. The duties below are not intended to be a comprehensive listing of all duties and tasks performed by the employees assigned to this classification.
Essential Duties and Responsibilities:
• Facilitates and implements the enrollment or withdrawal procedures of the district.
a) Enrolls new students and the withdrawal of transferring students within the student information system.
b) Ensures enrollment paperwork is complete, works with other schools to obtain student records, and collaborates with counselors to create schedules and build transcripts, transfer grades, and build new cumulative student file(s).
c) Provides all necessary student administrative and special education records to transferring district.
• Coordinates the accurate grade entry, updates and changes in courses and classes.
a) Runs and uploads report cards.
b) Uploads and provides student transcripts into 3rd party database.
c) Communicates with instructional staff concerning grade reporting expectations.
• Performs record maintenance, data entry, and file maintenance in the district''s student management database system. Collaborates with the District Office to ensure accurate data for state reporting and tracking of student information. Organizes class codes, student schedules, updates gradebooks, or other information within system(s). Creates and uploads announcements onto the school television program.
• Facilitates and coordinates local scholarship donations with secondary opportunities.
a) Communicates with previous and new donors regarding continued support and implementing the application process.
b) Communicates with students and parents, applications and communicating with donors regarding scholarship recipients.
c) Makes arrangements and organizes the Scholarship Awards Ceremony at years end.
• Submits completed PSEO applications to designated colleges; enters PSEO schedules and grades on student records and transcripts; and maintains PSEO hours for each student in the student information database.
• Assists in providing general customer support and clerical services for the department:
a) Supervising student testing in the office.
b) Manages student passes for counselor meetings and appointments.
c) Schedules meetings with outside agencies.
d) Performs other duties associated with general counselor office operations and administrative support to staff.
e) Communicates and schedules meetings between students and counseling staff.
• Performs other duties of a comparable level or type, as required.
Minimum Qualifications:
Requires a minimum of HS Diploma and a minimum of one year general office clerical/secretarial experience; or a combination of education and experience necessary to perform the requirements of the work.
Essential Knowledge And Specialized Subject Knowledge Required To Perform The Essential Functions Of The Job:
• Knowledge of general office procedures and practices.
• Operation of general office equipment and duplicating equipment.
• Knowledge of business productivity software/applications relevant to position (e.g., word processing, email, internet browsers, etc.).
• Fundamentals of general office procedures and practices of the district, counseling program(s).
• Knowledge of office etiquette and customer service procedures and routines.
• Knowledge of specialized district software and applications used in the performance of assigned duties.
• Fundamentals of general record keeping maintenance routines to perform data/record maintenance in filing or recording data in hard copy or electronic filing systems.
• Basic fundamentals of computer operation and use.
Essential Skills Necessary To Perform The Work:
• Customer service and human relation skills in assisting, dealing with and applying proper phone etiquette and informational assistance in dealing with district employees, parents, children, business and the public.
• Basic math skills needed to add, subtract, multiple and divide units of measure using whole numbers, fractions and/or decimals.
• Using and operating computers, keyboard skills, and applying office productivity software for basic word processing, file maintenance and data entry.
• Processing enrollment information and general recordkeeping activities.
• Performing duties and tasks that require attention to detail, precision, and accuracy in recording, entering, tracking or monitoring student information or district record maintenance activities.
• Applying proper grammar, usage and writing skills.
• Ability to learn and apply building office routines, systems, and office procedures.
• Ability to learn and operate district custom applications and district software used in maintaining office records, files, lists, student data, etc.
• Operating and using general office requirement.
Work Environment:
Duties are generally performed in a typical administrative/school setting where there are minimal environmental hazards and risks. Employee(s) may be exposed occasionally to disagreeable conditions involving human/student/parental contact.
Physical Job Requirements:
Employee is continuously required to talk and hear; frequently sits, and uses hands to finger, handle or feel; intermittently walks, stands, reaches with hands and arms, stoops, kneels, and/or crouches. Exerting up to 10 pounds of force frequently, and/or a negligible amount of force constantly to lift, carry, push, pull or otherwise move objects, including the human body.
Salary starting at $20.57+, depending on experience.
