JOB DUTIES: Under the supervision of the Principal, provides support to the Principal in a wide range of office and school operations; coordinates and organizes office activities and coordinates flow of communications and information for the Principal; provides support by planning, organizing, supervising and participating in the school office administrative operation; maintains confidentiality of sensitive and personal information; prepares and maintains a variety of records and reports related to assigned activities. Essential duties and responsibilities include the following. Other duties may be assigned: - Assistant to the building Principal - Professionally represent the school and the District in interactions with parents, community, staff, and students - Provides training and work direction to assigned office personnel, organizes and expedites the workflow of the school site and offers guidance and direction to other school personnel as needed - Provide calendar management for the Principal, prioritizing inquiries and requests while troubleshooting conflicts; make judgments and recommendations to ensure smooth day-to-day engagements that allow the Principal to be in classrooms - Performs assigned financial duties and maintains assigned financial records, school budgets and site accounts as directed by the Principal including processing and purchasing supply requests in compliance with District policy(ies) and procedure, maintain inventory of supplies, track balances and provide reports, maintain petty cash account and prepare cash boxes for student activities, receive all incoming funds - Perform general office duties including typing, filing, sorting and handling incoming and outgoing mail for the Principal - Receives and greets visitors and provides information to parents and the public; screens correspondence and telephone calls for the Principal - Manages school announcements and communications to families from the Principal - Research, create, input, format, organize and edit relevant data as needed or requested and prepare in a usable format. (examples: Run grade reports, attendance reports, etc) - Secures substitutes in order to assure adequate coverage for school site; orients substitute personnel and provides keys and pertinent information - Updates absence and timesheet information for assigned personnel - Coordinate office administrative needs; serves as back-up to other office staff as needed - Handles routine issues and emergencies concerning employees and students, makes decisions independently or collaboratively and recommends action as appropriate - Independently answer routine questions and correspondence from parents, staff and students not requiring the supervisor''s attention - Complete a high volume of computer work, using District computer programs, to input high volume of data with speed and accuracy in an environment with constant interruptions - Establishes, maintains and assures proper use of confidential files including student, personnel and payroll records - Assists with registration duties as needed - Assists with planning school events (Picture Day, Conferences, etc.) - Communicates with personnel and various outside agencies to exchange information, request and provide materials, coordinate activities and resolve issues or concerns - Serves as a major program information resource person and liaison between schools, departments, the District office and other locations; disseminates accurate and timely information and direction to students, parents, staff and visitors REQUIRED QUALIFICATIONS: - Minimum of 2 years post-secondary education in business/office management, or 3 years successful experience in a related field - Thorough knowledge of office equipment including but not limited to printer/scanner/copies, Macintosh computers and multi-line phones - Comprehensive skills with Google Suite including Docs, Gmail, Drive, Sheets and Calendar - Outstanding skills in organization and time management - Outstanding skills in communication, both verbal and written - Ability to complete basic and complex math computations using whole numbers, fractions and decimals - Ability to work under pressure, manage and direct people, work independently without direct supervision, and work within a team environment - Ability to maintain confidentiality, use tact, discretion and judgment in all communications PREFERRED QUALIFICATIONS: - Experience working with the Minnesota Department of Education - Knowledge of Minnesota Automated Reporting Student System (MARSS) - Experience with Skyward or other school management systems - Experience with Frontline Education System - Knowledge of school district practices, procedures and policies - Knowledge of school functions and services SALARY and BENEFITS: Salary based experience and the 2025-2027 School Support Employees Agreement AA4 starting at $23.32 up to $27.32 per hour.
