This is a full time,10 month clerical position starting July 29, 2024. Perform as the lead administrative assistant to successfully accomplish the job responsibilities associated with the management of a school office. Required Knowledge: &#8226; Knowledge of word processing, database and spreadsheet office software applications Required Skills: &#8226; Ability to accurately, confidentially and securely maintain and/or store records, documents, files and other information &#8226; Ability to work in a fast paced environment. &#8226; Ability to determine, prioritize, schedule and complete job assignments and projects without supervision and within the time allocated &#8226; Ability to operate independently and effectively while following established procedures and protocols &#8226; Ability to anticipate and/or recognize problems and/or complications and to determine and implement practical corrective solutions to problems and issues &#8226; Ability to demonstrate critical thinking skills when completing unique or complex job assignments &#8226; Ability to maintain confidential information &#8226; Ability to organize and maintain computerized and/or manual records and files &#8226; Ability to work with detailed information accurately &#8226; Ability to communicate effectively both orally and in writing &#8226; Ability to interact effectively with students, parents, staff, outside agencies and the general public What you will be doing: The essential functions include, but are not limited to, the following fundamental duties: &#8226; Maintain all building budget accounts. &#8226; Assist in finding daily substitute teachers, manage absences in the substitute system and greet substitutes at beginning and end of the day. &#8226; Assist with annual school opening and closing procedures &#8226; Communicate with parents and public as necessary &#8226; Facilitate kindergarten enrollment &#8226; Coordinate school recognition events &#8226; Prepare, send, open, account and distribute purchase order and other supply items &#8226; Type, duplicate, mail, tabulate, distribute, forward and file all notices, records, newsletters and supply orders &#8226; Process all materials assigned by the building principal &#8226; Compose routine correspondence in accordance with the principal &#8226; Maintain a running inventory of all materials and supplies, re-order and accounting for as necessary &#8226; Prepare survey data and reports for district office as requested and form census reports as required &#8226; Assist staff, parents and students as requested by the principal &#8226; Make routine decisions in absence of the building principal and contacts designated administrators as necessary &#8226; Perform other duties as assigned by the building principal or designee &#8226; Organize and oversee the Staff Calendar and Handbook &#8226; Assist with the &#8220;onboarding&#8221; of new staff for the building (keys, classroom supplies, changing directories, phone extensions, adding them into information systems) &#8226; Assist with the &#8220;offboarding&#8221; of staff members.
