Office Operations and Event Manager
Join an established team of professionals serving the Minnesota Association of Secondary School Principals (MASSP).
The Minnesota Association of Secondary School Principals (MASSP) is a professional educational association of over 1,300 active and retired secondary administrators who seek to grow professionally and to effect positive change in our schools. MASSP also serves as the umbrella organization for the Minnesota Association of Student Councils (MASC), Minnesota Association of Honor Societies (MAHS) and the Minnesota Association of Secretaries to the Principal (MASP).
Job Overview:
The Office Operations and Event Manager is responsible for supporting the Executive Director, managing day-to-day office operations, coordinating events, and ensuring the seamless execution of administrative functions. This role involves a combination of general office duties, technology management, event planning, and liaison tasks, requiring a diverse skill set in communication, organization, and technology.

Knowledge, Skills and Experience Needed:
● Bachelor’s Degree (preferred) in Public Relations, Communications, Marketing, or similar subjects.
● At least 2-3 years of relevant communications experience is preferred
● Superb written, editing, and oral communication skills along with a mastery of best practices regarding communications across multiple genres
● Experience in event planning and management.
● Graphic design experience (InDesign, Photoshop, or Canva)
● Proficient with Google Suite, Microsoft Office, basic website content management system, and email marketing and social media platforms
● Previous work experience in a school or educational non-profit, or similar
● Self-directed, self-motivated, and able to work with minimal direct supervision and willing to improve through training
● Pleasant interpersonal skills, positive mindset, and collaborative team player
● Exceptional organizational skills and attention to detail
● Flexible and adaptable to changes, interruptions, and unforeseen events
● Ability to track and perform multiple projects concurrently
● Strong history of member/customer support and service experience
● Appreciation for non-profit associations and a passion for public education
● Tech savvy and comfortable learning and utilizing new technology
Key Job Responsibilities:
Event Coordination:
● Assist in the preparation and execution of conferences and workshops.
● Act as a direct contact for conference-related inquiries (MASSP).
● Manage event logistics, including securing venues, preparing materials, and handling registrations and nametags.
● Work with hotels and venues on conference execution and speaker management.
● Attend key events such as summer and winter conferences.
● Updating social media sites.
General Office Duties:
● Provide administrative support to the Executive Director, including travel arrangements.
● Manage daily office operations such as opening mail, recording deposits, and larger mailings.
● Maintain staff vacation and sick day records, and manage office and organizational calendars.
● Secure meeting rooms, answer phones, and manage the main voicemail line.
● Assist with the preparation of meetings (packets, signage, attendance, etc.) and manage deposits and payments related to workshops.
● Send invoices for past-due workshops, seminars, and conferences.
Technology Management and Support:
● Maintain office technology, including database management for event materials, nametags, and participant listings.
● Provide technical support for office operations and events.
● Managing social media sites
Website and Graphic Design:
● Support website design and maintenance, ensuring up-to-date content and functionality (WordPress).
● Assist with graphic design needs (Illustrator, InDesign, Publisher, Mailchimp, Canva, etc.).
● Proficient in Google Suite and Adobe
Board Liaison:
● Act as a liaison between the board and the organization, ensuring smooth communication and record-keeping.
● Maintain and update the association’s member and division handbooks.
● Assist in the preparation and maintenance of MASSP records, bylaws, and office documents.
MASSP Duties:
● Coordinate tasks related to awards and various leadership and service awards.
● Order name badges, rings, and other recognition items for association events.
● Assist with Principal’s PLCs
● Manage duties related to specific MASSP events like Winter, Summer, and School Law seminars.
MASC/MAHS and MASP Responsibilities:
● Assist with event logistics for student councils, honor societies, leadership conferences, and educational secretaries’ events.
● Support the Director of Student Activities with MASC/MAHS events, including registration, nametags, and conference materials.
● Maintain scholarship databases (Ardis Kyker, MASC, MAHS).
● Attend and assist with the MASP annual conferences.
Qualifications:
● Proficiency in office software (Word, Excel, PowerPoint) and design tools (Illustrator, InDesign, Publisher, Mailchimp, Canva).
● Experience with website management (WordPress) and database systems.
● Excellent communication skills and ability to liaise with board members, staff, and external partners.
● Ability to travel for conferences and meetings as needed.
Preferred Qualifications:
● Background in working with educational associations or non-profit organizations.
● Familiarity with continuing education credits and scholarship management.
Salary + Benefits:
$60,000 starting, depending on experience. Includes excellent benefits: health insurance stipend paid as additional salary; paid time off and holidays; 10% employer contribution to retirement plan (no match required); $45,000 life insurance policy; long-term disability, etc.
Probationary period:
A 90-day probationary period, including a formal evaluation, will apply.
Work Environment:
MASSP is a hybrid workplace. Employees are expected to work in-person out of the MASSP office in Arden Hills, but may elect to work from home up to two days per week with sufficient notice and Executive Director approval. Due to the nature of our work, coordination and communication amongst all staff members is key. During our busiest season employees should expect to work in the office full time. Must be able to occasionally lift up to 40 pounds.
