Creating a safe Social-Emotional Learning Environment Job Summary This person is responsible for the administrative support for the school district. Provide administrative assistance to administrators, school staff, and students by answering/screening phone calls, coordinating meetings and events, handling confidential information, receiving and responding to inquiries and requests, preparing correspondence and other written communication and other duties as needed. This person will report directly to the Director of Operations. Responsibilities Administrative support and Customer Service (60%) * Provide assistance to the administration team in the Academic offices. * Assists with school events, parent-teacher conferences, field trips, Infinite Campus, follow-up and manage registrar for classes/rosters, report cards and assist with the coordination of meetings. * General Office Duties: Greet guests and answer the phones, represent the school accurately and positively, perform advance secretarial and routine clerical work. * Assist in maintaining and managing the 1st, 2nd, and 3rd floor workroom with the Operations team by ensuring that it is adequately stocked with supplies and is organized * Demonstrate and provide excellent customer service by creating a positive and professional environment. * Demonstrates and creates a positive, professional and courteous client service to all staff, students and public (SMILE) Enrollment (25%) * Assist with creating new student files and update current student files. * Assist the request for records process. * Manage the District&#8217;s student files &#8211; respond to records requests from other schools, send record requests on behalf of CSE, maintain organized and current student files and continuous filing of student documents on a consistent basis, and monitor staff requests to review student files. * Updates family and student information on infinite campus on a continual basis * Assist and maintain the E-Cum files, which includes annual scanning of student files * Perform other duties as assigned by the supervisor. District support (15%) * Intake of sick calls from staff; corresponds to executive team, HR, Graphic Designer of those staff that called in sick * Provides the public with information about our school (in person and over the phone) * Assist with school events * Provide coverage for other administrative assistant staff and/ or health specialists. * Assist when subbing needs for teachers and track, request/find subs for teachers that need coverage for both planned and unplanned absences. * Perform other duties as assigned by supervisor Position Specifications Skills, Knowledge and Abilities * Bilingual in English and Hmong, Karen or Karenni preferred * Experience and aptitude working with young children * High level of patience and ability to calmly and clearly redirect and guide young children * Demonstrated multi-cultural experience and ability to communicate with limited-English speakers * Demonstrates superior judgment in all aspects of work. * Ability to meet deadlines and hold oneself accountable to meeting deadlines. * Ability to work independently with minimal supervision, while also being a strong team player. * Ability to multi-task and handle high volume of interruptions * Familiarity and comfort with electronic forms of communication, including ready access and responsiveness to e-mail correspondence. * Ability to sit for long-periods of time and enter student and staff data accurately into Infinite Campus and for other state required reports Qualifications * AA degree; preferred BA degree Experience * Minimum of 2 year experience, especially with office administration work and Infinite Campus. Knowledge * Knowledge of Hmong culture and issues facing Southeast Asian communities, especially Hmong families. Job Summary

This person will report directly to the Director of Operations. 


Responsibilities

Administrative support and Customer Service (60%)

  • Assists with school events, parent-teacher conferences, field trips, Infinite Campus, follow-up and manage registrar for classes/rosters, report cards and assist with the coordination of meetings.

  • General Office Duties: Greet guests and answer the phones, represent the school accurately and positively, perform advance secretarial and routine clerical work.

Enrollment (25%)

Qualifications

  • AA degree; preferred BA degree



Experience

  • Minimum of 2 year experience, especially with office administration work and Infinite Campus.


Knowledge

  • Knowledge of Hmong culture and issues facing Southeast Asian communities, especially Hmong families. Commitment to building the strengths of immigrant/refugee families.
