Job Title: Administrative Assistant - Accounts Payable, Purchasing, HR duties and School Board Support Reports to: Carlton Superintendent Work Location: District Office Work Schedule - M-F Salary - $20.20 per hour to start - plus benefits Date Posted: 3/31/25 Closing Date - open until filled Position Overview: We are seeking a highly organized and versatile Administrative Assistant to join our team, providing comprehensive support in the areas of Human Resources (HR), Accounts Payable (AP), Purchasing, and School Board administration. The ideal candidate will be adept at multitasking, possess excellent communication skills, and have a strong attention to detail. This role requires a proactive individual capable of handling confidential information with discretion and professionalism. Key Responsibilities: 1. Human Resources (HR and Benefits) Support: * Assist in the recruitment process, including scheduling interviews, and maintaining HR records. * Coordinate employee onboarding and orientation programs. * Handle HR-related documentation, such as employment contracts, policies, and other personnel records. * Oversee Insurance and benefits for employees * Other duties as assigned 2. Accounts Payable (AP) Responsibilities: * Process invoices, ensuring accuracy and compliance with organizational policies. * Prepare and issue payments to vendors and suppliers. * Reconcile accounts payable transactions and resolve discrepancies. * Collaborate with the finance team to maintain accurate financial records. * Other duties as assigned 3. Purchasing Support: * Process purchase orders and track deliveries. * Ensure compliance with procurement policies and procedures. * Other duties as assigned 4. School Board Support: * Assist in the preparation of materials for school board meetings. * Attend and record minutes during school board meetings. * Coordinate communication between the school board and various stakeholders. * Maintain accurate records of school board decisions and actions. * Other duties as assigned 5. OTHER * Oversee Phone System and provide support to staff * Oversee Key Card system/Keys for employees * Other duties as assigned Preferred Qualifications: * Proven experience as an administrative secretary or similar role. * Familiarity (or desire to become familiar) with HR processes, AP, purchasing, and school board administration. * Strong organizational and time-management skills. * Excellent written and verbal communication skills. * Proficient in Microsoft Office Suite, Google Apps for Education, and other relevant software. * Ability to handle sensitive information with confidentiality and discretion. Education and Experience: * High school diploma or equivalent; additional certification/coursework in business administration or related field is a plus. * Previous experience in HR, AP, purchasing, or school board support is highly desirable.
