Job Title: Executive Assistant
Work Schedule and/or FTE: 1.0 260/261 duty days
Bargaining Unit: Individual Contract
Salary Range: $80,000 - $90,000/year, depending on experience
JOB SUMMARY
Under the direction of the Senior Officer of Administrative Services, the Executive Assistant provides high-level, confidential administrative support for Cabinet-level Senior Officers. This role supports the development and coordination of scheduling, communications, and special projects for Senior Officers. The position requires exceptional organizational skills, judgment, and discretion in handling sensitive and confidential information. This classification differs from other Administrative Assistant positions in that it requires extensive knowledge of district administrative operations. The work involves considerable independence, initiative, and tact in interactions with district staff, elected officials, and the public.
ESSENTIAL FUNCTIONS
- Manage and maintain Senior Officers’ calendars; schedule and coordinate meetings, appointments, and events.
- Screen and prioritize calls, visitors, emails, and correspondence; provide accurate information or route inquiries appropriately.
- Prepare and process confidential correspondence, reports, and other documents, including financial and analytical materials.
- Maintain organized systems for confidential and public records, including district policies and Board materials.
- Coordinate projects, events, workshops, travel, and recognition activities for Senior Officers.
- Maintain inventory and order office supplies; oversee service for office equipment.
- Process purchasing and invoices for District Office budgets.
- Assist with School Board Meeting preparation.
- Serve as the district’s on-site notary public.
- Assist with grant reports and budgets.
- Arrange and confirm travel for Board members, the Superintendent, and Senior Officers for workshops, conferences, and seminars.
- Maintain awareness of district initiatives, priorities, and deadlines to ensure alignment and support for the Senior Officers.
- Perform other duties as assigned by the Senior Officers.
QUALIFICATIONS
Education and Experience:
- Bachelor’s degree required; preference for business or education-related fields.
- Minimum of five years’ experience in executive-level administrative support, leadership coordination, or systems management.
- Demonstrated experience with supervision, process improvement, and information systems.
Knowledge, Skills, and Abilities
- Advanced proficiency in Google Workspace, Microsoft Office, Canva, and Adobe Acrobat.
- Strong written, verbal, and interpersonal communication skills.
- Ability to organize complex information, prioritize work, and meet deadlines.
- High level of discretion and ability to handle confidential matters.
- Strong reasoning, problem-solving, and decision-making skills.
- Knowledge of parliamentary procedures and board governance preferred.
- Commitment to equity, inclusion, and respectful communication.
- Ability to read, analyze, and interpret business, policy, and technical documents.
- Proficiency in creating, interpreting, and maintaining spreadsheets and financial data.
