Human Resource Coordinator
Position: Title: Student Support Services

Summary:
The Student Support Services staff manages core student services operations at the secondary level, ensuring accurate records, regulatory compliance, and smooth day-to-day workflows. This position serves as a central point of coordination for counseling operations, scheduling, graduation processes, scholarships, and postsecondary enrollment, while maintaining strict confidentiality and professional judgment. The role requires high attention to detail, strong organizational skills, and the ability to manage complex systems, timelines, and stakeholder communication in a fast-paced school environment.
Essential Duties and Responsibiltiies
1. Office Operations
Administrative & Office Management
Manage confidential records and correspondence from creation to disposal.
Maintain budget files, order supplies, and coordinate copier service.
Complete required beginning- and end-of-year tasks.
Coordinate calendars and schedules counselor appointments.
Schedule college representatives, military visitors, and vocational school representatives.
Serve as a primary point of contact for the student support services office operations for students, staff, families, the military, and other external organizations.
Student Information Systems & Data Management
Manage student data in Synergy, including reporting, enrollment verification, address updates, required reports, and lists. Make data updates within established permissions and refer system-level issues to designated administrators.
Create and support ParentVUE and StudentVUE accounts.
Support counseling programs, testing processes, attendance operations, hall passes, and Backpack Program distributions, testing, preparation, and documentation.
2. Courses and Scheduling
Tasks involved in fulfilling above duty/responsibility:
Support counselors and administrators with student registration, course placement, staffing data collection and verification, and the processing, distribution, and tracking of schedule changes for grades 7–12.
Assist with annual student scheduling for grades 7–12, ensuring accuracy and alignment with graduation and program requirements.
Prepare and maintain junior high and senior high course description guides, including creating and updating course descriptions, credit values, and college-related information; coordinate course availability within the school as needed.
Update and maintain the student information system and related databases to reflect course offerings, teacher assignments, report card data, and scheduling information; manage calendar displays across multiple systems.
Build and maintain the master schedule in collaboration with the Principal and Student Support Staff; manage the scheduling system until enrollment stabilizes.
3. Scholarships
Tasks involved in fulfilling the above duty/responsibility:
Prepare and maintain scholarship applications, recommendation letters, transcripts, duplication, computation of class rankings, scholarship information, and certificates
Maintain and process accurate scholarship financial records and requests, and ensure equitable access to scholarship information for all eligible students.
Prepare slideshow presentations, bulletin, certificates, folders, and invitations for the scholarship award ceremony.
4. MARSS, MCCC, Ed-fi & Carl Perkins
Tasks involved in fulfilling the above duty/responsibility:
Review, investigate, and correct reporting errors and discrepanciesMARSS, MCCC, and Carl Perkins errors and discrepancies with the MARSS Coordinator.
5. Event Coordination
Tasks involved in fulfilling the above duty/responsibility:
Organize scholarship and academic events.
6. Graduation Coordination
Tasks involved in fulfilling the above duty/responsibility:
Serve as the primary operational coordinator for graduation logistics
Maintain supply inventory
Maintain graduation information, including Senior Spotlight, programs, and senior information.
7. Student Cumulative Records
Tasks involved in fulfilling the above duty/responsibility:
Maintain permanent cumulative student records for grades 7–12 across the High School, ALC, and Vision programs, and new students, including grade changes, corrections, and year-end record reconciliation.
Prepare and process transcripts and record requests for current and former students.
8. Exchange Student Coordination
Tasks involved in fulfilling the above duty/responsibility:
Maintain positive working relationships with Exchange Student Agencies and Representatives
Coordinate Exchange Students'' enrollments, records, and transcripts
9. Academics and Grades
Tasks involved in fulfilling the above duty/responsibility:
This duty requires strict adherence to timelines and confidentiality standards
Manage grading windows for teachers, including opening and closing grading periods, monitoring grade submission completion, and following up as needed.
Update incomplete grades and ensure accuracy of final grade submissions.
Upload and publish report cards in the Student Management System (SMS).
Process grade changes as requested by teachers
Record and transcript summer school and night school grades.
Generate and distribute teacher class lists for grading programs.
Calculate honor rolls and class rankings, including verification of exclusions (e.g., special education classes, study halls) and application of weighted coursework.
Prepare, distribute, and mail report cards; generate distribution and completion reports.
Run GPA and honor roll reports and distribute results via mass email; submit approved information for publication to social media and local newspapers.
10. PSEO Coordination
Tasks involved in fulfilling the above duty/responsibility:
Managing applications and compliance
Tracking materials and books

Strong organizational skills: Managing multiple projects simultaneously with the ability to meet deadlines with high attention to detail.
Follow district requirements, procedures, and Board of Education policies.
EDUCATION / CERTIFICATION REQUIREMENTS
High school diploma or general education degree (GED).
Associate of Arts Degree preferred
ParaPro or ParaEducator
REQUIREMENTS
Previous office experience preferred.
Demonstrated keyboarding proficiency at 55 words per minute.
Satisfactory performance and compliance with district policies.
Proven ability to handle confidential and sensitive information.
