JOB SUMMARY: Organize, coordinate, schedule, and perform office functions. This position will assist, support, and work closely with teachers, administrators, and other team members to provide students with educational benefits. The Student Services Coordinator/ MARRS Coordinator will provide student services, maintain the Minnesota Automated Reporting Student System, and manage the guidance office.

ASSIGNMENT: Non-Certified

WAGE: $22.33 to $25.71 per hour, based on experience and qualifications

MAJOR AREAS OF ACCOUNTABILITY: 

  • Provide administrative assistance to the Guidance Counselor; make, schedule, and arrange appointments, compose letters, memoranda, and other materials. 

    • Provide assistance and coverage as needed to the high school office.

  • MARSS Coordinator responsibilities:

    • Collaborate with departments to ensure accurate student records for MARSS reporting.

    • Submit MARSS information to MDE on time.

    • Manage tasks such as printing and mailing report cards.

    • Compile data for reports and process requests.

  • Coordinate special events for the high school, including academic breakfast, conferences, open houses, community night, and graduation.

  • Keep student and family information up to date in the record system.

  • Support students, staff, visitors, and the community.

  • Manage transcripts and records for current and incoming students.

  • Collaborate with the Guidance Counselor on local scholarships and events.

  • Maintain records for student transfers to other districts or social services.

  • Keep student files, including IEP files, up to date.

  • Communications duties:

    • Assist in maintaining the District Website and Facebook.

    • Engage with local newspapers and radio stations for school news.

    • Coordinate with the technology department for public relations.

  • Handle new student registration for grades 4-12, ensuring paperwork is directed to the correct department.

  • Enter new student information into Synergy.

  • Track enrollment for reporting purposes.

  • Manage student departures from the district.

  • Track Homeschool students and paperwork, working with the Homeless Liaison to identify and assist eligible students.

  • Contribute to SAAP Program compliance and reporting.

  • Take responsibility for Carl Perkins, and SSID EC reports, and assist with other reports as needed.

  • Community Ed Coordinator responsibilities:

    • Perform additional duties as assigned.

Job Requirements:

  • Adaptability: Ability to perform multiple tasks and a willingness to upgrade skills to meet changing job conditions.

  • Technical Proficiency: Competency in operating standard office equipment, including computers, copiers, and fax machines.

  • Customer Service: Excel in assisting customers and engaging effectively with diverse community members, staff, and students.

  • Communication Skills: Proficient oral and written communication skills.

  • Interpersonal Skills: Ability to engage with others using tact, patience, and courtesy.

  • Software Knowledge: Familiarity with Google, and Microsoft. Synergy software is a plus.

  • Task Management: Capable of handling frequent interruptions and still efficiently completing tasks.

  • Multitasking: Strong multitasking abilities to handle diverse responsibilities simultaneously.

  • Confidentiality: Skill in working with confidentiality and discretion, especially when handling sensitive information.

  • Organizational Skills: Strong organizational skills to manage tasks and responsibilities effectively.


Supervision of Other Employees: 

  • This position is not responsible for the supervision of other District employees.


Working Environment:

  • Some lifting, carrying, pushing, and/or pulling; some stooping, kneeling, crouching, and/or crawling; and significant fine finger dexterity.

  • In general, the job requires 50% sitting, 25% walking, and 25% standing.


MINIMUM QUALIFICATIONS:

Education:

  1. High School diploma or equivalent required.

Experience:

  • Preferred Background:

    • Experience working with the Minnesota Automated Reporting Student System (MARSS).

    • Administrative Assistant experience or similar roles.

    • Customer Service background.
