POSITION TITLE: Operations Manager
REPORTS TO: HR Manager
POSITION OBJECTIVE: The Operations Manager supports the day-to-day operational and communication needs of the school while ensuring alignment with the mission, vision, and pillars of DaVinci Academy. This role oversees transportation logistics, internal and external communications, and office staff supervision to ensure efficient and compliant school operations.
RESPONSIBILITIES:
Transportation Coordination
- Manage safe and reliable transportation services for students.
- Oversee transportation vendor contracts, including field trips and special events.
- Collaborate with transportation providers to develop efficient bus routes annually.
- Coordinate communication of bus routes and manage family transportation agreements.
- Ensure transportation reporting compliance with state requirements.
- Implement and oversee the competitive bidding process for transportation contracts.
Health Services Coordination
- Work with the school nurse to ensure student immunization compliance and completion of required state health reporting.
Communications
- Oversee and execute all school-wide communications, including the development and distribution of the monthly newsletter.
- Collaborate with school leadership, PTO, and committees to create and disseminate messages to families.
- Maintain and update the school''s social media presence (e.g., Facebook) to share announcements, events, and highlights.
- Ensure messaging is accurate, timely, and aligned with school priorities and community needs.
Safety and Security
- Manage building security systems, including key fobs, cameras, and access codes.
- Support arrival and dismissal procedures in the parking lot.
- Ensure emergency preparedness procedures (fire, tornado, lockdown) are implemented and maintained.
- Communicate workplace safety procedures and expectations to staff.
- Oversee the planning and execution of school-wide events, including coordination of facility and operational needs. Provide supervision and support for events held during the school day as well as those occurring outside of regular school hours, ensuring smooth, safe, and well-organized operations.
Staff Supervision and Office Operations
- Supervise administrative assistants and nursing staff, providing direction, support, and accountability.
- Oversee daily operational tasks such as timecard/payroll management, time-off approvals, and staff support for the individuals that the manager supervises.
- Conduct regular check-ins with team members to ensure departmental needs are met.
- Coordinate office functions, including attendance through Infinite Campus.
- Plan and coordinate school-wide events such as open houses, orientations, and other large gatherings.
- Prepare workspaces and resources for new staff members.
- Serve as backup support for the main office as needed.
HR Onboarding and Benefits
- Assist the HR Manager with onboarding new employees, ensuring appropriate system access and equipment are in place. Support benefits enrollment by confirming full-time team members complete required selections, and administer COBRA processes for departing staff in compliance with applicable regulations.
Collaborate with the leadership team on operational planning and decisions that positively impact the school community.
Additional Requirements
- Evening or weekend hours may be required to support school events or emergencies.
- Perform other duties as assigned.
Qualifications:
- Education: Bachelor''s Degree in Business or Accounting preferred
Preferred skills and work experience:
- Minimum 3 years experience working in educational organization, charter school experience highly desirable
- Minimum 3 years operations and facilities management experience
- Demonstrated ability to manage staff
- Demonstrated success in vendor relationships and contract management
- Demonstrated problem solving and customer service skills
- Excellent written and oral communication skills
- Knowledge of and ability to learn all laws, rules, procedures, and programs related to the operation of a Minnesota charter school.
Position Information:
- Salary Pay Range: $50,000 - $70,000
- Duty Days: 225
- Time Off: 15 days of PTO, and 12 days sick time to accrue
