Job Title: COORDINATOR, ACTIVITIES
PRIMARY FUNCTION: The Activities Coordinator provides comprehensive coordination and operational leadership for district athletics and activities. This role supports the District Activities Director by managing day-to-day operations, communications, compliance, scheduling, staffing, financial processes, and special events to ensure high-quality extracurricular programming for students, families, staff, and the community.
ILLUSTRATED DUTIES: The essential functions of this job include, but are not limited to, the following fundamental job duties:
Administrative & Program Coordination
- Serve as the primary operational coordinator for the District Activities Office, supporting the District Activities Director in the management of athletics and activities programs.
- Coordinate communications with coaches, advisors, students, families, officials, vendors, and community partners to ensure accurate, timely, and consistent information.
- Draft, edit, and distribute correspondence, rosters, schedules, contracts, handbooks, registration materials, and program publications.
- Maintain accurate records of student participation, awards, eligibility, and compliance documentation.
- Coordinate and manage calendars, meetings, and appointments for the District Activities Director and activities staff.
- Prepare meeting agendas, minutes, and action items; track follow-up items and deadlines.
- Assist with planning and execution of seasonal parent/athlete meetings, coaches meetings, and the annual Scholastic Banquet.
- Identify and coordinate fundraising opportunities for teams and activity groups.
Data Management, Compliance & Reporting
- Compile, manage, and analyze district athletics and activities data for required reporting to the Minnesota State High School League (MSHSL), TriMetro Conference, State of Minnesota, Federal Free and Reduced Lunch Program, and NCAA Clearinghouse.
- Maintain and update the Coaches/Advisors Shared Google Drive with current seasonal information and resources.
- Coordinate end-of-season documentation, summaries, and parent/athlete surveys from coaches and advisors.
- Collaborate with the Director of Nutritional Services to maintain food service licensure and compliance with Anoka County Department of Health requirements.
- Support students and coaches with academic eligibility monitoring and reporting requirements.
Scheduling, Events & Game Management
- Secure, schedule, and manage athletic and activity contracts with in-district and visiting schools.
- Coordinate event logistics including officials, event workers, volunteers, and visiting teams.
- Manage district-wide athletic, activity, and facility schedules to ensure efficient use of spaces and resources.
- Coordinate transportation for high school and middle school athletics and activities, including buses for games, meets, practices, and special events.
- Oversee ordering, inventory, and management of indoor and outdoor concession operations across athletic seasons.
- Coordinate registration, transportation, and on-site support for summer strength training and summer practices.
Organizational, Staffing & Financial Management
- Coordinate staffing and payroll processes for coaches, advisors, and event staff, including salary calculations, budget code verification, and submission of hiring documentation to Human Resources per Schedule C.
- Collaborate with Human Resources to develop and post job openings for coaching and advisor positions.
- Maintain seasonal updates of staffing assignments, contracts, and salary information.
- Monitor and track professional development and licensure requirements for coaches and advisors, including MSHSL compliance.
- Track, calculate, and submit payments for officials, event workers, and volunteers.
- Support budget management by reconciling activity accounts, processing income and expenditures, managing credit card statements, depositing funds, paying invoices, and preparing financial reports.
- Order, inventory, distribute, and track supplies and equipment for district athletics and activities programs.
- Oversee ticket sales, cash handling, and deposits in accordance with district financial procedures.
Communication & Community Engagement
- Serve as a primary point of contact for families and students regarding registration, sports physicals, eligibility, insurance, and fee payment options.
- Coordinate, manage, and promote opportunities for student sports physicals.
- Maintain and update the district activities website and social media platforms.
- Draft and distribute activities-related communications via Campus Messenger and FHS/FMS newsletters.
Alumni & Special Events
- Coordinate and manage all aspects of the Athletic Hall of Fame Banquet, including venue selection, catering, ticket sales, RSVP management, program design, and on-site event support.
- Promote and assist with planning the annual Golf Tournament.
- Assist with promotion, planning, and coordination of the annual Remember When Run.
Professional Responsibilities
- Maintain strict confidentiality regarding academic records, student discipline, medical information, tax documentation for officials, coach investigations, performance reviews, and activities budgets.
- Perform additional duties as assigned in support of district athletics and activities programs.
Other duties as assigned
QUALIFICATIONS:
- High School diploma or equivalent.
- Proficient in word-processing, data bases, and spreadsheets.
- Experience in accurately collecting, tracking and reporting money.
- Ability to occasionally work evenings and weekends to support school activities.
- Advanced Microsoft Excel and data analysis skills.
- Knowledge of MARSS and Ed-Fi reporting requirements.
- Proficiency with student information systems (e.g., Infinite Campus).
- Ability to interpret and apply Minnesota Department of Education (MDE) guidelines.
- Commitment to culturally responsive practices and ability to work effectively with individuals from diverse cultural and linguistic backgrounds.
Skills:

Preferred Qualifications:
- Bilingual abilities (especially in Spanish, Somali or Hmong) are a plus.
- Experience in Infinite Campus or similar student information system (SIS).
- Experience with the Minnesota State High School League scheduling system and MSHSL.org website.
- Previous experience as a school administrative assistant or in a school office setting.
- Working knowledge of MN K-12 school system.
- Familiar with website data management.
SALARY CLASSIFICATION: Individual Contract ($94,000 - $115,000), based on experience
