Job Summary: The administrative assistant will work efficiently to provide support and assistance to students, staff and the public and maintain a high level of ethical behavior and confidentiality of any information regarding students, personnel and all job-related matters. This position will work 220 days per year, 8 hours per day. The salary range for this position is $19.42 per hour - $21.92 per hour. Salary is dependent upon education and experience. Responsibilities Include: Guidance Department Support Provide assistance to the Guidance Counseling staff Public relations/customer service for students, parents and other educational facilities when appropriate Maintain student Cumulative files Provide general clerical duties (update documents, make copies, answer phones, etc.) Maintain calendar and schedule meetings for Guidance Department staff Track and prepare student recognition and awards Provide transcript information as requested Media Department Support Provide assistance to the Media Center staff Public relations/customer service for students and parents Provide general clerical duties (update documents, make copies, answer phones, etc.) Supervise media center and provide media resources Operates specialized computer system for circulating media center materials Assist students with instructional and technology tasks and questions Supervise students and manage the circulation desk Assist students with book selection and location and use of media center materials Generate overdue and other computerized reports Shelve returned books; replace incorrectly shelved books; label and mend books Circulate media center equipment such as Chromebooks, laptop carts, etc. Assist with inventory of all media center materials Student Support Services Provide schedules to new students Scan grades for mid-trimester reports and report cards Post grades to transcripts Track and provide honor roll information Monitor and secure student records Maintain diploma information and provide related documents Maintain PSEO grade and compliance tracking Assign and track student locker information Special Programming Manage college recruiting process and contacts Organize scholarship process for Dollars for Scholars Manage parent-teacher conferences Primary records contact for incoming and outgoing students FERPA Liaison for records retention policies Essential Skills: Professional communication skills and proficiency in computer software including Google (Gmail, Docs, Sheets), Microsoft (Word, Excel) and Infinite Campus. Education Requirements: High School Diploma or GED. Secretarial experience preferred, but not required.
