Location: Community Education (District Office)
Columbia Heights Public Schools is seeking a Community Education Administrative Assistant. This position is located on the main floor of the District Offices and supports the Community Education department. They also assist with general building operations and assisting parents and visitors.
Spanish fluency is required for this position.

General Definition of Work
Performs intermediate skilled administrative support work registering and billing community members for community education programs; processing county and scholarship billing for community education programs; registering and entering new student information for community education programs; providing customer service and administrative support, and related work as apparent or assigned. Work is performed under the moderate supervision of the Director of Community Education.
Qualification Requirements

Essential Functions
- Performs clerical support tasks; performs data entry; answers, addresses and routes telephone, e-mail and in person inquiries; forwards appropriate inquires to designated faculty members.
- Greets visitors; addresses inquiries.
- Receives and enters in registration information and payments for community education programs.
- Enters student registration information and produces class lists for community education programs.
- Assists with registration and processing of early childhood screening paperwork
- Responsible for all billing processes for community education programs, including processing county funding for child care and scholarship funding for early childhood programs.
- Collects and processes all time sheets for Community Education staff according to the payroll calendar.
- Enters registration information from students into Student Information Systems for community education.
- Collaborates with coordinators on the production and distribution of community education promotional materials
- Posts Community Education classes for online enrollment
- Assists community education coordinators and director with quarterly and annual reports.
- Collects and archives student records and data.
Knowledge, Skills and Abilities
General knowledge of district handbooks, rules, regulations, policies and procedures; general knowledge of timesheets
and payroll related forms; thorough skill preparing or processing communications; thorough skill operating standard
office computer equipment and applicable hardware and software; general skill preparing purchase orders, vouchers and
deposit reports; thorough skill preparing communications, signs, brochures, charts and diagrams; some skill
maintaining accurate records both paper and electronically; ability to compute rates, ratios and percentages; ability to
perform some troubleshooting when operating standard office hardware and software; ability to manage several work
projects simultaneously; ability to effectively communicate with staff, students, parents and other district shareholders
both orally and in writing; ability to establish and maintain working relationships with associates, parents, students
and community members.
Education and Experience
High school diploma or GED and considerable experience in customer service, clerical or office support roles, or
equivalent combination of education and experience. Associates/Technical degree preferred.
Physical Requirements
This work requires the occasional exertion of up to 10 pounds of force; work regularly requires sitting, speaking or
hearing and repetitive motions, frequently requires using hands to finger, handle or feel and occasionally requires
standing, walking, stooping, kneeling, crouching or crawling, reaching with hands and arms, pushing or pulling and
lifting; work has standard vision requirements; vocal communication is required for expressing or exchanging ideas by
means of the spoken word and conveying detailed or important instructions to others accurately, loudly or quickly;
hearing is required to perceive information at normal spoken word levels and to receive detailed information through
oral communications and/or to make fine distinctions in sound; work requires preparing and analyzing written or
computer data, operating machines and observing general surroundings and activities; work has no exposure to
environmental conditions; work is generally in a moderately noisy location (e.g. business office, light traffic).

- Experience working in a multi cultural setting and with diverse groups of people preferred.
