Job Title: Special Education Support Specialist Position Summary: The Special Education Support Specialist provides vital operational, clerical, and compliance support to the Special Education Department while playing an active role in supporting paraprofessional workflows and student well-being. Working under the direction of the Director of Special Education and the Special Education Coordinator, this position ensures due process compliance, manages electronic and physical student records, coordinates district/state reporting systems, oversees departmental procurement/inventory, and supports third-party billing and tuition acknowledgments. While this position does not make educational or compliance determinations, the Support Specialist collaborates directly with administration, licensed teachers, related service providers, paraprofessionals, families, and outside agencies to ensure seamless departmental operations, dignified student care, and adherence to federal and state special education requirements. Essential Responsibilities: ? Regular and prompt attendance is an essential function of the position. ? Monitor and track legal timelines for evaluations, re-evaluations, annual IEPs, and progress reports; alert staff to upcoming deadlines ? Prepare, collect, distribute and archive due process paperwork (meeting notices, consent forms, prior Written Notices, and procedural safeguards). ? Maintain accurate child count data in SpEd Forms and coordinate with the MARSS coordinator to align data in the student information system. ? Process incoming and outgoing student record requests, physical files, and digital archives in compliance with FERPA. ? Prepare and organize records requested for state monitoring, audits and compliance reviews. ? Schedule and coordinate special education meetings (IEPs, evaluations, intake, manifestations, and other required due process meetings). ? Securely send and track required due process paperwork, including NTMs, PWNs, evaluation/reevaluation materials, and IEPs, to families and external organizations via standard mail or secure electronic delivery within required legal timelines. ? Maintain and systematically update special education state and district assessment and testing data in the district data warehouse to ensure data integrity and accessibility ? Coordinate the participation of IEP team members, related service providers, contracted staff, families, outside agencies, and interpreters/translators. ? Arrange interpretation and translation services related to special education meetings, evaluations, consent processes, procedural safeguards, and other IDEA-required communications. ? Provide clerical coordination and administrative support for IEP-required student transportation services. ? Track and log department inventory (curriculum, assistive technology, testing protocols, and specialized equipment across the district). ? Facilitate special education purchasing, requisitions, and process purchase orders in line with district and state special education funding guidelines. ? Coordinate and process tuition acknowledgements and resident/servicing district agreements and communications. ? Support third-party billing documentation. ? Assist in monitoring Time & Effort/PARs forms for compliance. ? Assist leadership with paraprofessional schedules, tracking duty assignments, monitoring daily sub coverage, answering daily questions in alignment with handbook procedures, and distributing procedural update communication. ? Provide non-certified specialized direct support to students in event of temporary support shortage. ? Assist teachers with daily student activities and provide direct care for students? due to staffing issues. ? Attend SpEd Department Meetings and administrative meetings as needed. Cultivate self-initiated and district-directed professional learning, staying current on special education software updates and administrative procedures. ? Associate?s Degree or equivalent experience preferred ? Administrative, clerical, or records management experience preferred. ? Proficiency in Google Workspace and Microsoft Office ? Strong organizational skills, attention to detail, and ability to handle confidential information. ? Ability to manage multiple priorities and meet deadlines ? Familiarity with SpEdForms, JMC, and MARSS preferred ? Excellent verbal and written communication skills ? A growth mindset and commitment to continuous improvement ?
