ROLE OBJECTIVES
The Administrative Assistant serves as a first point of contact for the school, facilitates communication between families and school personnel, and provides administrative support to the Building Principal, Executive Director, and other school staff. The position supports daily front office operations through reception, attendance, transportation changes, visitor management, communication, records, office organization, safety procedures, and general clerical support. The Administrative Assistant also serves as backup to the Health Aide as needed, supporting basic student health needs in accordance with training, school procedures, and direction from the School Nurse.
KEY DUTIES
1. Serve as a first point of contact for the school and provide administrative support to the Building Principal, Executive Director, and other administrative personnel.
2. Unlock and prepare the front office for students and staff at the beginning of the school day.
3. Check voicemail and professional email at the start of the day and throughout the workday; respond or route messages promptly and appropriately.
4. Greet and welcome students, families, visitors, and staff and direct them to the appropriate person or location.
5. Answer, screen, route, and forward incoming phone calls and coordinate the flow of information by phone, email, and in person.
6. Provide basic and accurate school information to students, families, staff, and visitors; respond to questions or connect individuals with the appropriate staff member.
7. Use respectful communication, conflict-resolution, and de-escalation strategies when responding to concerns or challenging interactions.
8. Check students in and out of the building and support attendance procedures, including documenting absences, tardies, late arrivals, and early dismissals in Skyward based on parent/guardian communication.
9. Maintain accurate attendance records and complete required attendance updates by established timelines.
10. Receive and communicate student transportation changes throughout the day in accordance with school procedures and established cutoff times.
11. Monitor students waiting in the front office for non-disciplinary reasons and provide appropriate assistance while maintaining school expectations.
12. Assist with student dismissal procedures and relay urgent messages to classrooms as needed.
13. Maintain a tidy, organized, professional, and productive front office and reception area reserved for office-related activities.
14. Monitor the front entrance and maintain office security by following visitor management procedures, controlling access, maintaining visitor logs, and issuing visitor badges.
15. Receive, sort, and distribute daily mail, packages, deliveries, and interoffice mail.
16. Organize office files; prepare copies; complete filing, photocopying, transcribing, data entry, recordkeeping, and other clerical support tasks.
17. Order, organize, distribute, and maintain inventory of office supplies and materials; assist with maintaining office equipment.
18. Work with principals and other administrators to schedule meetings and support school events as assigned.
19. When assigned, receive school fees or lunch money, process deposits, maintain accurate financial records, prepare purchase requests, and assist with field trip payments.
20. Follow school emergency procedures and support lockdown, fire, tornado, evacuation, and other safety drills; monitor security cameras when assigned and contact emergency personnel when necessary.
21. Use school technology systems, including Skyward and Google Workspace, accurately and appropriately for assigned responsibilities.
22. Protect confidential information by maintaining FERPA-compliant practices, locking the computer screen whenever away from the workstation, securing confidential documents, and logging out of computers and technology at the end of the day.
23. At the end of the day, ensure confidential materials are secured and the front office is left organized and ready for the next school day.
24. During summer or non-student contact days, monitor phones, email, mail, and deliveries and assist with curriculum organization and the organization/distribution of office supplies as assigned.
25. Serve as backup to Front Office/Attendance staff as needed.
26. Serve as backup to the Health Aide as needed, including responding to basic student illness or injury, contacting parents/guardians (using interpreters when needed), documenting health office visits, and following established student health procedures within the scope of training and certification.
27. When providing Health Aide backup, maintain student confidentiality, follow individual health care and emergency action plans as directed, and administer medications only in accordance with school policy, required authorization, and applicable training.
28. Work collaboratively with all staff, demonstrate flexibility with changing priorities, and assist with training new office staff or special events as assigned.
29. Perform other duties and responsibilities as assigned by the immediate supervisor and/or Principal.
REQUIREMENTS
Educational Qualifications: H.S. Diploma
Required Work Experience in Addition to Formal Education/Training: Previous administrative, receptionist, clerical, customer service, or school office experience preferred. Experience with student attendance, front office procedures, customer service, confidential records, office technology, and managing multiple priorities is beneficial. Experience using Skyward or a similar student information system and Google Workspace is preferred. Experience working with children in a school, childcare, healthcare, or similar setting is preferred for Health Aide backup responsibilities. Must demonstrate professionalism, sound judgment, confidentiality, reliability, conflict-resolution skills, and the ability to respond calmly and effectively to routine and urgent situations.
BENEFITS AND COMPENSATION
Pay Range: $35,000/yr or higher based on experience.
