PowerSchool Administrator
Reports To: Superintendent
Position Type: Full-Time, Primarily in-person with occasional remote options
Duty Year: 12 Month
FLSA Status: Exempt
This position is contingent upon the continued partnership between Houston Public Schools and Stride.
Compensation
Salary range: $65,000–$75,000, based on qualifications and experience. Houston Public Schools offers a comprehensive benefits package, including health insurance, retirement benefits, paid leave, and other employee benefits.
Purpose
The PowerSchool Administrator manages, maintains, and supports the District''s PowerSchool Student Information System (SIS). This position oversees two separate PowerSchool instances, ensures continuous and accurate data synchronization between systems, and maintains data integrity, reporting, and system functionality across district operations. The PowerSchool Administrator works closely with administrative staff, IT personnel, teachers, and district leadership to provide technical support, system setup, and end-user training.
Essential Functions
PowerSchool System Administration & Multi-Instance Management
- Manage, configure, and maintain two PowerSchool SIS environments, ensuring system performance, security, and proper user access controls.
- Establish, monitor, and troubleshoot ongoing automated and manual data synchronization between the two PowerSchool instances and third-party systems.
- Oversee end-of-year rollover processes, school setup, master schedule configurations, grading periods, terms, and year-end archiving across both systems.
- Perform system updates, patch verifications, and custom page modifications or script adjustments as needed.
- Manage user accounts, role-based permissions, and portal access for staff, students, and parents in compliance with privacy guidelines.
Data Integrity, Syncing, and Reporting
- Conduct routine data audits to ensure data cleanliness, consistency, and alignment across both system instances.
- Manage import/export processes, custom reports, state reporting data extractions, and data transfers to external platforms.
- Analyze and resolve system sync errors, data mismatch issues, and connectivity disruptions between platforms promptly.
- Ensure strict adherence to federal and state student privacy regulations, including FERPA guidelines, across all data exchanges.
User Support, Training, and Collaboration
- Provide primary technical support and issue resolution for district administrators, registrars, teachers, and staff using PowerSchool.
- Develop training materials, user guides, and standard operating procedures for district staff on SIS processes and best practices.
- Deliver initial and ongoing training to system users, including power users, teachers (PowerTeacher), and office staff.
- Liaise with PowerSchool technical support, third-party software vendors, and internal IT staff to escalate and resolve complex technical issues.
General Responsibilities
- Maintain positive working relationships with administrators, staff, families, and external support vendors.
- Attend relevant meetings, technical trainings, and professional development opportunities.
- Support district technology initiatives and organizational goals.
- Perform other duties as assigned by the Superintendent or designee.
Qualifications
Required
- Associate degree or equivalent combination of education and experience.
- Minimum of 2–3 years of experience administering PowerSchool SIS.
- Strong technical expertise in managing data imports/exports, data mapping, and system integrations.
- Demonstrated ability to manage multi-system data syncs and troubleshoot complex data discrepancies.
- Excellent organizational, analytical, communication, and technical problem-solving skills.
Preferred
- Bachelor''s degree in Computer Science, Information Technology, Educational Technology, or a related field.
- Experience administering multiple PowerSchool instances or enterprise-level databases.
- Experience working in a K-12 school district environment.
- Knowledge of state educational compliance reporting requirements and FERPA regulations.
- Familiarity with HTML, SQL, custom fields, and advanced report creation within PowerSchool.
Knowledge, Skills, and Abilities
- Deep knowledge of PowerSchool architecture, administration, data structure, and third-party API/sync mechanisms.
- Ability to diagnose, troubleshoot, and resolve data synchronization issues efficiently.
- Ability to organize, prioritize, and manage multiple complex technical tasks simultaneously.
- Ability to communicate complex technical concepts clearly to non-technical users.
- Ability to exercise sound judgment, maintain confidentiality, and handle sensitive student and personnel data responsibly.
Working Conditions
Work is primarily performed in an office environment with extensive computer work and frequent contact with district staff. The position requires prolonged periods of screen time, meticulous attention to data accuracy, and the ability to respond to system technical issues promptly in a dynamic environment.
