Position Title: HR Assistant Salary Range: $50,000.00 - $60,000.00 Reports To: HR Director Status: Exempt, Full-Time 40+ hours a week Contract Type: 11-month contract One (1) week off in June One (1) week off in August. The HR Assistant serves as an essential support to the HR Director, in a hybrid work arraignment helping keep the day-to-day operations of HOPE''s human resources function organized, accurate, and running smoothly. This is an entry-level HR role designed for someone who is eager to grow in the human resources field within a mission-driven school environment. The HR Assistant provides hands-on administrative and operational support across all areas of the HR function, helping ensure that staff experience a welcoming, professional, and responsive HR department from day one. This role directly supports HOPE''s Workforce Culture strategic priority ? helping us build toward an 85% staff retention rate and 80% staff satisfaction rate by 2028. The ideal HR Coordinator is detail-oriented, dependable, and genuinely passionate about supporting people. This person understands that behind every HR task is a person ? and that how we show up for our staff matters deeply to our culture and our mission. PRIMARY DUTIES Recruitment & Hiring Support. Provide administrative support throughout the recruitment process, which may include the following: posting open positions, organizing and tracking applications, scheduling interviews, preparing interview materials, and communicating with candidates under the direction of the HR Director. Help maintain an organized and candidate-friendly hiring process that reflects HOPE''s values. Onboarding & Orientation. Assist with the coordination and preparation of the onboarding experience for all new staff. Responsibilities may include assembling new hire paperwork packets, maintaining personnel files, supporting technology and building access setup, and preparing orientation materials. Help ensure new staff feel welcomed and supported from the moment they accept their offer through their first weeks at HOPE. HR Records & Compliance. Assist in maintaining accurate and confidential employee records in compliance with applicable federal, state, and organizational policies. Support tracking of certifications, licensure requirements, background clearances, and mandatory training completions. Help prepare documentation for audits and compliance reviews as directed by the HR Director. Benefits Administration Support. Support staff with benefits-related inquiries by providing accurate information and directing questions to the HR Director as appropriate. Staff Relations & Employee Support. Serve as a friendly and professional point of contact for general HR inquiries, directing staff to the appropriate team member based on their needs. Maintain a welcoming and approachable presence that reflects HOPE''s values of belonging and joyful excellence. Handle all interactions with care, confidentiality, and respect for every member of the HOPE community. Policy & Procedure Administration. Help maintain organized and up-to-date HR documents, including the staff handbook, policy summaries, and reference materials. Support the development of clear, accessible resources that help staff understand expectations and processes at HOPE. HR Data & Reporting. Assist in maintaining HR data systems by entering and updating employee information accurately and in a timely manner. Support the HR Director in pulling routine reports and organizing data related to staffing, onboarding, and attendance. Help ensure that HR records are current, organized, and accessible for reporting purposes. Payroll & Timekeeping Support. Support payroll preparation by collecting and organizing timekeeping data and submitting it to the HR Director for review and processing. Assist with tracking time-off requests, leave balances, and schedule changes. Help staff navigate payroll-related questions by connecting them to the appropriate resource. REQUIREMENTS High school diploma or equivalent required; Associate''s or Bachelor''s degree in Human Resources, Business Administration, or a related field preferred; equivalent work experience will be considered. Minimum of one (1) year of experience in an administrative, office support, or human resources role; experience in a school or nonprofit setting is a plus. Recent graduates with relevant coursework or internship experience are encouraged to apply. Basic familiarity with HR concepts, employment practices, and confidentiality expectations; willingness to learn and grow within the HR function. Strong organizational skills and attention to detail; ability to manage multiple priorities and meet deadlines in a fast-paced environment. Demonstrated ability to handle sensitive and confidential information with professionalism, discretion, and integrity. Strong interpersonal and communication skills; ability to build trusting relationships with staff at all levels of the organization. Proficiency in Microsoft Office Suite and Google Workspace; experience with HRIS systems is a plus. Ability to work both independently and collaboratively as part of a team. Demonstrated ability to build relationships and work effectively with diverse populations. Experience working with or in Hmong and/or other diverse communities is strongly preferred; proficiency in Hmong is a significant asset. WORK ENVIRONMENT Work Schedule & Hybrid Work Arrangement This position operates on a hybrid work schedule, currently structured as approximately two (2) days per week in the HOPE school building and three (3) days per week working remotely. This schedule is subject to change based on the operational needs of the HR Department and the school, and may be adjusted at any time with reasonable notice. The hybrid arrangement is a privilege, not a guarantee, and will be revisited regularly to ensure it continues to serve the needs of the team and the school community. School environment; school building is a multi-level building that has an elevator and is accessible. May involve movement throughout the building to support scholars in classrooms, common areas, hallways, and offices. Possible exposure to loud environments (e.g., hallways during passing periods, cafeteria, gymnasium). Some evening hours may be required for school events, family engagement activities, and cultural programs. Expectations During Remote Work Hours During all scheduled remote work hours, the HR Assistant is expected to be fully present, professionally available, and actively working. Remote work days are not personal days and do not accommodate caregiving responsibilities. The HR Assistant must have a dedicated, distraction-free workspace and reliable internet access during all scheduled work hours. You must be reachable by phone, email, and messaging platforms during your scheduled hours and respond to communication in a timely manner consistent with the expectations of an in-office environment. In-Office Availability There may be occasions where the HR Assistant is required to report to the school building on short notice ? including on days that are otherwise scheduled as remote work days. This may occur due to urgent HR matters, staff needs, compliance situations, or school events that require in-person support. The HR Assistant must be prepared and willing to come into the office when requested, and the ability to do so is a condition of this hybrid arrangement. This is a hybrid role and will remain so; however, consistent inability to meet last-minute in-office requests will be addressed through the standard performance management process.
