Saint John''s Preparatory School invites applicants for the full-time, benefit eligible position of Registrar and Academic & Financial Operations Manager.
Since its founding in 1857, Saint John’s Preparatory School has provided exceptional education in the Catholic Benedictine tradition. Saint John''s Preparatory School is a Catholic/Benedictine, co-educational, day and boarding college preparatory school for students in grades 6-12, with boarding options beginning in the 9th grade. Saint John''s Prep is located on the 3,000 acres of woods and lakes of Saint John''s University''s campus in central Minnesota. Prep has continuously dedicated itself to both educational development and personal formation.
The Registrar and Academic & Financial Operations Manager plays a central role in the daily operations of Saint John’s Preparatory School by ensuring the accuracy, integrity, and effective management of the school’s academic records, student financial records, and student information systems.
Serving as the school’s Registrar, this position oversees academic scheduling, student records, transcripts, course registration, and graduation tracking. In partnership with the Director of Finance and Facilities, the position also manages student billing, work-study payroll, and related financial processes.
The Registrar and Academic & Financial Operations Manager serves as a trusted resource for faculty, staff, students, and families by maintaining reliable information systems, supporting data-informed decision making, and ensuring that essential academic and financial records are accurate, secure, and accessible.
The position reports to the Principal and works collaboratively with the Director of Finance and Facilities. The position serves as a trusted resource for Information Technology, faculty, and administrative staff to support the mission and daily operations of Saint John’s Preparatory School.

The posted wage represents OSB''s good faith estimate of likely compensation at the time of posting. Actual pay will be dependent upon several factors, including the candidate''s experience, qualifications, and skills, and may fall outside of the range indicated.

Responsibilities:
Registrar & Academic Services
- Serve as the school’s Registrar.
- Collaborate with the Principal to develop the annual course catalog, coordinate student course registration, and create the school’s master schedule.
- Maintain and audit student academic records and transcripts to ensure students remain on track to meet graduation requirements.
- Manage grading processes, including importing grades, producing progress reports, report cards, transcripts, and academic reports for school leadership.
- Maintain and ensure the accuracy of student information across the school’s academic systems, including Blackbaud, Schoology, and SCOIR.
- Attend Academic Affairs Committee meetings and provide data and reports as needed.
Student Accounts & Financial Services
- Manage student billing, tuition adjustments, financial aid postings, and miscellaneous student charges.
- Process, reconcile, and maintain student accounts to ensure accurate financial records and timely account management.
- Generate and distribute student account statements.
- Serve as the primary contact for families regarding student billing questions.
- Coordinate the student work-study payroll process, including employment documentation, timecard processing, payroll records, and communication with students and families.
- Support school departments and student activities by coordinating cash handling, cash boxes, and account reconciliation for school events.
Student Information Systems & Database Management
- Maintain the accuracy, integrity, security, and consistency of student and constituent data.
- Administer and optimize the school''s student information systems, including Blackbaud, Schoology, SCOIR, Clarity, REACH, and other approved software platforms.
- Develop procedures that promote accurate data, efficient workflows, and consistent use of school information systems.
- Collaborate with faculty and staff to identify reporting needs and provide data that supports informed decision making.
- Partner with Information Technology staff to ensure appropriate integration, security, and support of school information systems.
- Maintain relationships with software vendors, monitor system updates, and recommend enhancements that improve school operations.
General Administrative Responsibilities
- Coordinate medical insurance administration for students enrolled in the school-sponsored insurance plan.
- Maintain confidentiality of student, family, and institutional information.
- Provide responsive, professional service and support to students, families, faculty, and staff.
- Perform other duties as assigned.
Qualifications:
MINIMUM DESIRABLE QUALIFICATIONS:
- Bachelor''s degree preferred.
- Three to five years of experience in academic administration, registrar services, student information systems, financial operations, or a related field.
- Experience managing student information systems or other enterprise database systems.
- Experience with billing, accounts receivable, or financial record management.
- Strong organizational, analytical, and problem-solving skills with exceptional attention to detail.
- Excellent written, verbal, and interpersonal communication skills.
- Ability to manage multiple priorities while maintaining highly accurate records.
- Demonstrated ability to learn, implement, and improve administrative systems and processes.
- Ability to train and support both technical and non-technical users.
- Commitment to providing responsive, high-quality customer service to students, families, faculty, and staff.
- Ability to exercise sound judgment, maintain confidentiality, and handle sensitive information with discretion.
- Ability to build positive relationships with students, families, faculty, and staff while providing outstanding customer service.
PHYSICAL ABILITIES:
Sitting for prolonged periods of time. Extensive use of computers and keyboard. Occasional walking and minimal lifting may be required.
