Performs detailed operational tasks in the areas of accounting, personnel or administrative support. Position requires knowledge of practices and procedures of the department and district policy and procedures. This role may provide support to multiple locations and the type of duties assigned will vary based on campus or district location. Duties & Responsibilities: * Performs general administrative tasks which may include items such as organizing, maintaining, and updating files and records; typing correspondence; assisting in preparation of reports; verifying accuracy and processing forms; preparing mailings for distribution; ordering supplies; creating and maintaining spreadsheets; answering phone; organizing, copying and assembling training materials; etc. * Greets guests, answers questions, and directs visitors to appropriate contacts. Assists parents, volunteers, and other student support professionals with check-in and signing out of students. Enforces school security policy by verifying guest and customer identification. * Provides information and assists department staff on procedures and policies related to staff absence reporting, substitute calling system, timesheets and mileage forms. Verifies staff attendance and process absences; alerts manager/principal of pertinent information relevant to absence approval. Assists site administrator in daily sub assignments, greets substitutes and notifies HR and manager/principal of reported substitute performance concerns. * Answers phones, records messages, assists callers or re-directs inquiries to the appropriate individual or department. Schedules appointments for department management and staff. May also take meeting notes and prepare agendas as directed. * Assists in financial and budget management as directed. Tracks spending and assists manager/principal in management of budget. Maintains petty cash by preparing vouchers, disbursing monies, preparing requests for replenishing cash, balancing the account and obtains monies to replenish accounts. At the district office, may track and highlight discrepancies in health insurance payments, etc. * Performs other job-related duties as assigned. Minimum Requirements: High School Diploma or GED, one to three years work experience, skilled in Microsoft Office, and exemplary customer service skills. Licensing and Certifications: Administrative Professional or Office Technology Certification preferred.
