Business Office and Human Resources Manager Responsibilities and Job Description (November 2020) &#8226; This administrative position will report to the school&#8217;s director &#8226; This is a full-time, salaried position with 7.0+ hours per day when students and staff are in school, and more flexible hours in June, July, and August to be determined annually with the school director &#8226; This position includes 9 PTO days during the school year and 10 PTO days in the summer (PTO days may be broken into &#189; days but not into hours) &#8226; This position must attend the regularly scheduled monthly board meeting to present financial reports to the board, as well as meetings specific to budgeting and finance at other times during the year HR Human Resources Responsibilities &#8226; Posting job opportunities, reviewing applications and forwarding all resumes and applications to the director and full board &#8226; Setting up interviews by coordinating with the board&#8217;s personnel committee, helping interviewing candidates, attending job fairs if needed, helping the director recommend candidates for hire by the board &#8226; Ensuring that employment policies, procedures, and laws are complied with when hiring and terminating staff &#8226; Helping the director with contract administration and the writing up of contracts each summer and as needed during the school year &#8226; Reviewing, updating, and writing job descriptions as needed &#8226; Collecting and forwarding information and receiving background checks &#8226; Ensuring compliance with policies, procedures and employment laws, as well as the proper documentation and accurate and complete maintaining of employee files. Employee Benefits Responsibilities &#8226; Understanding the school&#8217;s EBC (Education Benefit Consultants) contract and acting as main point of contact between employees and the company &#8226; Understanding retirement options and acting as the main point of contact between employees and the Ameriprise 403B retirement account representative &#8226; Understanding basic TRA/PERA and acting as the main point of contact for the school with these entities Employee Support Responsibilities &#8226; Overseeing the Frontline system for daily staff absences and finding teaching, paraprofessional, and secretarial substitutes as needed &#8226; Offering new hire orientations, including creating training packets for jobs &#8226; Representing the school in workers comp issues and hearings &#8226; Representing the school in unemployment insurance issues and hearings &#8226; Working with the director to present employment policies to the board &#8226; Updating the staff handbook annually with help from the school director Budget Responsibilities &#8226; Helping director administer performance stipends, extra-duties, and Q-comp pay when needed &#8226; Processing primary payroll (getting timesheets for substitutes, classroom teacher hourly pay, janitorial and secretarial; reviewing and signing timesheets; forwarding all timesheets to the payroll company as required; providing back-up documentation and payroll coversheets) &#8226; Submitting the Title I and Title II grant paperwork with help from the school&#8217;s director &#8226; All accounts payable, receivable, and general business office duties, including audit preparation details Other Responsibilities &#8226; Working with the school director and helping ensure paperwork and reporting is complete and to Osprey Wilds when required (ex: overseeing the Epicenter site for timely submissions of board and school materials) &#8226; Ensuring teacher licensing and relicensing is accurate and complete &#8226; Working with the STARS coordinator to submit the licensing report &#8226; Gathering credit card receipts from staff monthly for the business office &#8226; Helping the dean of students with nurse duties for students when the nurse is absent &#8226; Helping the director with board member training and the election process as needed &#8226; Transportation- working with the Dean of Students and Transportation Coordinator to help ensure that paperwork is complete and accurate, policies and procedures are followed, and ensuring ERATS follows MDE and other regulatory agencies, including keeping accurate files on all vehicles.
